We are seeking a highly organised HR associate to support Kenkeputa’s CEO. The ideal candidate is proactive, fluent in English, familiar with American business culture, and comfortable managing communications, tasks, and follow-ups across time zones in a fast-paced global company.

Responsibilities:.
HR Administration & People Operations Support:
- Maintain organized employee records, role documents, contracts, offer letters, probation documents, and HR templates.
- Support onboarding and offboarding processes, including document collection, access coordination, welcome communication, and exit checklists.
- Track probation timelines, confirmation dates, performance review dates, contract renewal dates, and other key employee milestones.
- Assist with preparing HR letters, including offer letters, salary adjustment letters, confirmation letters, warning letters, probation letters, and termination documentation.
- Coordinate employee data updates across Google Workspace, HR folders, spreadsheets, and internal trackers.
- Ensure HR documents are properly filed, version-controlled, and easy to retrieve.
- Support compliance with company policies, employee handbook requirements, and internal operating procedures.
Recruitment & Hiring Coordination:
- Help coordinate hiring pipelines for open roles across the company.
- Post job descriptions on approved platforms and organize incoming applications.
- Screen candidates for basic role requirements and prepare shortlists for manager or CEO review.
- Schedule recruiter screens, technical interviews, CEO interviews, and follow-up conversations.
- Maintain candidate trackers, interview notes, test submissions, and hiring status updates.
- Communicate professionally with candidates throughout the hiring process.
- Prepare offer letters, onboarding documents, and new hire checklists after hiring decisions are made.
Performance Management Coordination:
- Help coordinate monthly and quarterly performance review cycles.
- Track completion of manager reviews, self-assessments, peer assessments, and performance documentation.
- Follow up with managers and employees to ensure required performance documents are completed on time.
- Maintain trackers for employee goals, KPIs, probation status, Green/Yellow/Red performance ratings, and improvement plans.
- Assist in organizing weekly, monthly, and quarterly performance documents in Google Docs/Sheets.
- Ensure performance review documentation is complete, properly named, and filed in the correct folders.
- Support the CEO in preparing performance-related communication and follow-up action items.
Internal Communication & Follow-Up:
- Monitor internal follow-ups across WhatsApp, Slack, Google Docs, email, and other company communication channels as assigned.
- Ensure important messages, approvals, blockers, and action items are not missed.
- Help prepare internal announcements, reminders, policy updates, and staff communication.
- Follow up with team members on overdue deliverables, missing updates, incomplete documents, or required responses.
- Escalate delays, risks, or non-responsiveness to the CEO when necessary.
- Maintain a clear and professional communication style across all company interactions.
Administrative & Operational Support:
- Maintain company trackers, admin documents, HR folders, templates, and operating checklists.
- Support basic vendor, supplier, consultant, and contractor documentation where needed.
- Assist with meeting documentation, action logs, departmental updates, and recurring operating rhythms.
- Help coordinate signatures, approvals, file sharing, and document routing.
- Support special projects assigned by the CEO, especially those involving documentation, organization, coordination, and follow-through.
Requirements:
- 2–5 years of experience in HR administration, recruitment coordination, or people operations.
- Strong written communication skills.
- Excellent organization, follow-up, and task-tracking ability.
- High discretion and ability to handle confidential information.
- Strong attention to detail.
- Comfortable working remotely and communicating frequently through WhatsApp, Slack, email, and Google Workspace.
- Ability to manage multiple small but important tasks without dropping details.
- Strong sense of ownership, urgency, and accountability.
- Comfortable working directly with a busy CEO in a fast-paced startup environment.
Preferred Qualifications:
- Experience in a startup, remote team, or fast-moving company.
- Familiarity with Google Docs, Google Sheets, Google Drive, Slack, WhatsApp, and basic project/task trackers.
- Experience coordinating hiring processes, onboarding, employee documentation, or performance review cycles.
- Basic understanding of HR best practices, confidentiality, and employee lifecycle processes.
- Prior experience supporting teams across Nigeria, the US, Canada, or other international markets is a plus.

First 90-Day Expectations:
- Organize all active HR folders, employee records, and key templates.
- Create or improve onboarding, probation, confirmation, and offboarding checklists.
- Support at least one complete hiring pipeline from posting to candidate coordination.
- Coordinate the company’s recurring performance review documentation cycle.
- Establish a reliable rhythm for reminders, task tracking, meeting notes, and follow-ups.
- Demonstrate strong confidentiality, responsiveness, and execution discipline.

What This Role Is Not:
- This is not a strategic Head of HR role.
- This is an execution-heavy support role for someone who can handle HR coordination, documentation discipline, and strong follow-through.
