Daily School Operations:
- Monitor inventory levels for academic, office, kitchen, and printing supplies proactively.
- Execute purchasing workflows within budget limits to prevent resource shortages.
- Serve as the main point of contact for school property management, cleaning crews, and external vendors.
- Troubleshoot office equipment malfunctions and coordinate timely technical repair services.
- Greet incoming parents, students, vendors, and job applicants with professional warmth.
- Operate the central multi-line phone system to route calls accurately.
- Distribute incoming physical mail, courier packages, and digital correspondence daily.
- Draft official school memos, parent emails, and internal announcements with absolute clarity.
- Manage shared academic calendars, executive schedules, and school conference room bookings.
- Coordinate complex travel itineraries and lodging logistics for visiting educators or staff.
- Organize logistics for internal team meetings, parent-teacher conferences, and school events.
- Order catering, set up media equipment, and prepare agenda materials ahead of meetings.
- Maintain highly organized, secure digital and physical student records and school filing systems.
- Update employee directories, emergency contact logs, and parent databases regularly.
- Assist the accounting team by tracking school expenses and processing basic invoices.
- Manage petty cash accounts, log receipts, and reconcile monthly credit card statements.
- Facilitate new-hire on-boarding by preparing workstations and welcome materials.
- Collect compliance documents, background checks, sign-off forms, and identification from new staff.
- Promote adherence to school health, safety, and operational policies.
- A minimum of a high school diploma / secondary school required
- Minimum of 1-3 years of experience in administrative or office support roles, ideally in an educational institution.
- Advanced mastery of Google Workspace or Microsoft Office Suite.
- Exceptional verbal articulation and polished written correspondence.
- Proven ability to multitask and prioritize urgent tasks under tight deadlines.
- Strong critical-thinking skills to resolve administrative issues independently.
