Job summary

The HR & Admin Officer is responsible for leading and strengthening the people operations, HR systems, administrative operations, and facility management functions of CADSync Consults. The role also provides high-level executive support to the CEO, ensuring coordination, structured communication, policy implementation, and operational efficiency.

Job descriptions & requirements

Responsibilities:

Human Resource Operations & People Management

  • Oversee daily HR operations, including employee records, onboarding, confirmations, transfers, exits, and employee relations.
  • Serve as the first point of contact for staff welfare, engagement, and performance support.
  • Coordinate the performance management process according to approved KPIs and performance timelines.
  • Ensure compliance and implementation of the HR Manual/Staff Handbook across the organization.
  • Lead onboarding, supervision, and performance monitoring of Corps Members and Interns.
  • Support Learning & Development initiatives and internal capacity-building programs.


Recruitment & Talent Management

  • Manage end-to-end recruitment processes, including sourcing, screening, interviews, documentation, and reporting.
  • Oversee background checks, guarantor verification, and reference validation processes for clients and internal needs.
  • Support the expansion and productization of talent acquisition and HR advisory services.
  • Track recruitment leads, conversion metrics, turnaround time, and service quality.
  • Work with the CPO to refine pricing, service structure, client engagement, and recruitment delivery standards.


 

Executive Support to the CEO

  • Provide structured administrative support to the CEO, including diary/calendar management, scheduling, and meeting coordination.
  • Prepare briefs, reports, emails, presentations, and documents required for executive decision-making.
  • Track and follow up on action points from meetings, retreats, and strategic sessions.
  • Liaise with internal and external stakeholders on behalf of the CEO.
  • Coordinate speaking engagements, travel arrangements, logistics, and onsite event management where required.


 

Governance, Reporting & Process Discipline

  • Support documentation and implementation of Standard Operating Procedures (SOPs).
  • Maintain accurate HR and administrative records for audits, compliance, and internal reviews.
  • Prepare periodic HR/Admin performance reports and dashboards for management meetings.
  • Support regulatory and statutory filings/documentation in collaboration with the CPO.


 

Administration & Facility Management

  • Oversee daily office administration, utilities, office supplies, inventory, and facility management.
  • Ensure the office environment is safe, functional, clean, and properly equipped for operations.
  • Manage vendors, service providers, maintenance teams, and facility contracts.
  • Track administrative expenditures and support cost-control initiatives.


 

Corporate/Revenue Objectives

  • Contribute directly to the firm’s revenue objectives through HR services, recruitment solutions, background checks, consulting support, and client engagements.
  • Support business development initiatives relating to HR advisory and consulting services.


Requirements:

  • Bachelor's degree in Human Resources, Business Administration, Psychology or related field
  • Professional HR certifications (CIPM/PHR/SPHR/SHRM) are an added advantage
  • Minimum 2–4 years relevant HR/Admin experience
  • Experience supporting senior leadership/executives preferred
  • Strong HR administrative and operational management skills
  • Excellent organizational, coordination, and multitasking abilities
  • High emotional intelligence and executive presence
  • Strong communication and documentation proficiency
  • Client service orientation and revenue-mindset
  • Ability to work independently with minimal supervision
  • Professional discretion and confidentiality
