Executive Assistant
Job summary
This role requires flexibility, professionalism, attention to detail, and the ability to work closely with the CEO, including extended hours when necessary to meet business demands and organizational goals.

Responsibilities:
- Provide high-level administrative and executive support to the CEO.
- Manage the CEO’s calendar, meetings, appointments, schedules, and daily workflow.
- Coordinate internal and external communications on behalf of the CEO.
- Prepare reports, presentations, meeting minutes, proposals, and executive summaries.
- Track tasks, projects, and deliverables to ensure deadlines are met.
- Organize and manage virtual meetings, business engagements, and travel schedules.
- Handle confidential information with discretion and professionalism.
- Follow up with departments, staff, vendors, clients, and stakeholders on assigned tasks and pending matters.
- Assist with business operations, project coordination, and strategic planning.
- Monitor priorities and proactively resolve scheduling or operational conflicts.
- Support the CEO during business events, presentations, training, and executive meetings.
- Ensure proper documentation, filing, and records management, both digital and physical.
- Work closely with the CEO beyond regular working hours when necessary and remain available on selected weekends or workdays as required by executive schedules and business operations.
- Perform other executive and administrative duties assigned by management.
Requirements:
- Minimum of 2–5 years proven experience as an Executive Assistant or in a similar senior administrative role.
- Strong organizational and multitasking abilities.
- Motion, Asana, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace (Google Docs, Sheets, Slides, Drive, Calendar, Meet), Slack, Trello, Zoom, Microsoft Teams, Notion, Calendly, Dropbox / Google Drive, CRM systems, AI productivity tools and workplace automation platforms, Email management systems and cloud collaboration tools.
- Excellent verbal and written communication skills.
- Ability to work under pressure and manage multiple priorities effectively.
- High level of professionalism, confidentiality, and discretion.
- Strong problem-solving and decision-making skills.
- Ability to work independently with minimal supervision.
- Strong attention to detail and time management skills.
- Must be proactive, resourceful, and highly dependable.
- Ability to work closely and directly with the CEO in a dynamic business environment.
- Flexibility to work late hours, extended schedules, and on days required by the CEO to support business operations.
- Experience in project coordination, operations management, or executive support is an added advantage.
