The Front Office Manager serves as the primary point of contact between the school, families, and the wider community. This role ensures smooth front office operations while fostering a welcoming, responsive, and inclusive environment for all stakeholders. The manager supports administrative tasks, communication, and community engagement initiatives aligned with the school's mission.

Job Description/Requirements

Responsibilities:

Front Office Operations:

  • Manage day-to-day front desk activities including reception, phone calls, visitor sign-in, and mail distribution.
  • Maintain student, staff and visitors attendance records, filing systems, and office supplies inventory.
  • Schedule and coordinate meetings, appointments, and school events logistics.
  • Support enrollment and registration processes end to end.


Family Engagement:

  • Serve as a first point of contact for parents/guardians, addressing inquiries with professionalism and empathy.
  • Distribute newsletters, notices, and communication materials to families.
  • Maintain updated family contact information and communication logs.
  • Support school-family partnership initiatives and parent meetings.


Community Relations:

  • Build relationships with local organizations, partners, and stakeholders to support school activities and outreach programs.
  • Assist in organizing community-based events, volunteer initiatives, and school campaigns.
  • Maintain a calendar of community engagement events and partnerships. Administrative Support
  • Support school leadership in preparing reports, presentations, and correspondence.
  • Coordinate student records and support compliance with school policies and procedures.
  • Train and supervise office and care assistants or volunteers, if applicable.


Responsibilities to the Department and School:

  • Be respectful of the needs of colleagues and the department concerning cooperation, collegiality,  deadlines, and team cohesion 
  • Participate positively in departmental meetings, follow policies, and generally contribute to the effective  and efficient running of the department  
  • Promote professional dialogue, share ideas about teaching and learning, and support other teachers in  developing good practices and new approaches and initiatives 
  • Take part in, and contribute to, INSET activities offered in the department and by the school
  • Enthusiastically contribute to cross-curricular links and initiatives, and Leadership in
  • Action activities 6. Be involved in new responsibilities within the department as part of an ongoing process of professional development 
  • Keep up to date with developments in the subject, and education generally  


Other Responsibilities:

  • Undertake other reasonable duties as requested by the Head of Department, Head of
  • Faculty or members of the Senior Leadership Team and any duties that the Head of school deems necessary for the effective operation of the school


Requirements:

  • Minimum of a High School Diploma; Associate’s or Bachelor’s degree in administration, communication, or education-related field preferred.
  • 3+ years of front office or administrative experience, preferably in an educational setting.
  • Strong interpersonal and communication skills.
  • Proficiency with office software (e.g., MS Office, Google Workspace, student information systems).
  • Ability to multitask and remain calm under pressure.
  • Demonstrated cultural sensitivity and a commitment to equity and inclusion.


Preferred Attributes:

  • Bilingual abilities (e.g., English and a local language) are an asset.
  • Experience working with school-aged children and families.
  • Knowledge of community resources and family support services.


Location: Gwarimpa, Abuja

Remuneration: NGN 200,000 and above
