Job Summary

The Front Desk Officer is responsible for providing administrative and operational support at the GCAF Centre/Studio. This role ensures smooth and professional interactions with all visitors, manages day-to-day office functions, and supports the planning and execution of programs and events. The officer plays a key role in maintaining a clean, organized, and welcoming environment, while assisting the Director and other team members with essential tasks.

Job Description/Requirements

Responsibilities:

  • Greet and assist art instructors, students, and visitors, offering relevant information and guidance.
  • Maintain cleanliness and safety of the facility through oversight of assigned housekeeping tasks.
  • Organize and manage both electronic and physical files, processed emails, and office supplies.
  • Respond promptly to inquiries in person, by phone, email, or other communication channels.
  • Support the coordination, recruitment, and facilitation of GCAF events, workshops, and programs.
  • Assist in the execution of arts workshops, training sessions, and other directed activities.
  • Participate in outreach and relationship-building with stakeholders, partners, and project participants.
  • Schedule and coordinate meetings, travel logistics, and internal activities.
  • Set up and manage equipment for events and meetings (e.g., laptops, projectors, sound systems, video conferencing). Proficient with Zoom for meetings and events.
  • Prepare official documents including application forms, contracts, reports, and correspondence.
  • Assist the Director in data collection and report preparation for GCAF activities.
  • Coordinate volunteer needs, assign tasks, and supervise volunteers during events when necessary.
  • Ensure the availability and organization of office and classroom supplies and equipment.
  • Perform other duties as assigned to support the smooth running of the centre.


Requirements:

  • Minimum of a diploma or relevant certification in administration, communication, arts management, or a related field.
  • At least 3 years of experience in front desk, administrative, or program support roles in corporate firm or NGO.
  • Excellent interpersonal and communication skills (written and verbal).
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic digital tools.
  • Ability to multitask and work in a dynamic, creative environment.
  • Comfortable working with diverse youth and creative professionals.
  • Interest in the arts, youth development, or nonprofit work is an added advantage
