Job Summary

The Executive Secretary to the Managing Director provides high-level administrative support to ensure the efficient operation of the Managing Director's office. This role requires discretion, excellent organizational skills, strong communication abilities, and the ability to manage multiple tasks in a fast-paced environment.

Job Description/Requirements

Responsibilities:


Executive Support

  • Manage the MD/CEO’s calendar, appointments, meetings, and travel arrangements.
  • Draft and prepare professional correspondence, internal memos, reports, and presentations.
  • Organize and maintain confidential documents and filing systems.
  • Coordinate and schedule executive and management meetings, including preparing agendas and recording minutes.


Communication & Liaison

  • Act as the first point of contact between the MD/CEO and internal/external stakeholders
  • Manage incoming communications, emails, calls, and messages, filtering and responding appropriately.
  • Liaise with department heads, suppliers, and business partners on behalf of the MD/CEO.


Retail-Specific Support

  • Track key retail performance reports (e.g., sales, inventory, store KPIs) as requested by the MD
  • Assist with coordinating store visits, inspections, and special events involving the MD.
  • Follow up on retail operational directives issued by the MD to ensure implementation.


Travel & Event Coordination

  • Arrange detailed travel itineraries, hotel accommodations, and transport logistics for local and international trips.
  • Organize company events, board meetings, staff retreats, and retail promotional activities.


Confidentiality & Professionalism

  • Handle confidential information with utmost integrity and discretion.
  • Represent the MD/CEO with professionalism and tact at all times.


Requirements:

  • Bachelor’s degree in Business Administration, Secretarial Studies, or related field.
  • Proven experience (4-5 years) as an executive assistant, secretary, or similar role supporting top executives.
  • Excellent written and verbal communication skills.
  • High proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office management tools.
  • Strong organizational, time management, and multitasking abilities.
  • Professional demeanor, proactive attitude, and attention to detail.
  • Ability to work under pressure and meet deadlines.
  • Strong interpersonal skills and the ability to work with diverse teams.
