Job Summary

The Executive Assistant to the Managing Director (MD) provides high-level administrative and operational support to ensure the efficient functioning of the MD’s office. The role involves managing communications, coordinating projects and meetings, and handling sensitive information with utmost confidentiality.

Job Description/Requirements

Responsibilities:

  • Provide day-to-day administrative support to the MD, including calendar management, filing, and document organization.
  • Draft, format, and print relevant documents and correspondence.
  • Screen and prioritize incoming communications, emails, and requests.
  • Schedule and organize internal and external meetings, ensuring all logistics and documentation are in place.
  • Prepare and distribute agendas, take accurate minutes, and track follow-ups.
  • Coordinate board meetings, executive sessions, and strategic planning workshops.
  • Act as a liaison between the MD and internal/external stakeholders.
  • Maintain professionalism in handling high-level business communications.
  • Prepare memos, reports, and briefing notes for the MD.
  • Support the MD in planning and tracking strategic projects.
  • Monitor deadlines and ensure deliverables are met across departments.
  • Maintain a dashboard or tracker for key ongoing initiatives.
  • Plan and book domestic and international travel arrangements for the MD.
  • Prepare travel itineraries and ensure travel-related documents are in order.
  • Handle logistics, accommodation, and meeting scheduling for trips.
  • Manage confidential files and records with strict discretion.
  • Handle sensitive business information and company decisions professionally.
  • Serve as a trusted advisor and gatekeeper to the MD and will also run personal errands for the MD.
  • Compile weekly, monthly, and quarterly reports for executive review.
  • Prepare presentation slides and briefing documents.
  • Analyze incoming information and summarize key insights for the MD.


Requirements:

  • Minimum of 2 years experience
  • BSc. Degree in a relevant course of study
