Job Summary

We are seeking a highly organized, proactive, and resourceful Executive Assistant to support our CEO in overseeing the operational functions across all business lines. The ideal candidate is a detail-oriented multitasker with a passion for beauty and digital operations. This role is pivotal in ensuring smooth day-to-day operations, excellent customer service, and impactful marketing execution.

Job Description/Requirements

Responsibilities:


Executive Support

  • Serve as the right hand to the CEO, managing calendars, meetings, and communications.
  • Track operational goals, project timelines, and business initiatives.


Operations Management

  • Coordinate with spa management to ensure optimal daily operations and customer satisfaction.
  • Oversee customer service and engagement for both eCommerce platforms (hair and beauty products).
  • Monitor order fulfillment and resolve escalated customer inquiries when necessary.


Content & Marketing

  • Manage and update content on all company websites, ensuring alignment with brand and promotional strategies.
  • Plan and execute social media marketing campaigns across platforms (Instagram, Facebook, TikTok, etc.).
  • Collaborate with content creators and designers to maintain a consistent brand voice and visual identity.


Vendor & Supplier Relations

  • Manage communications with suppliers and vendors, ensuring timely procurement and quality assurance.
  • Support negotiations, contract tracking, and performance evaluations of vendors.


Team & Communication Liaison

  • Act as a bridge between the CEO and department leads, especially at the spa location.
  • Facilitate staff meetings, prepare agendas, and document key action items.


Requirements:

  • Bachelor’s degree in Business Administration, Communications, Marketing, or a related field.
  • Minimum of 2 years of relevant work experience as an Executive Assistant, Operations Manager, or in a similar support role.
  • Proven experience as an Executive Assistant, Operations Manager, or similar role.
  • Strong organizational and multitasking skills with high attention to detail.
  • Familiarity with eCommerce platforms (e.g., Shopify, WooCommerce) and CRM tools.
  • Excellent written and verbal communication skills.
  • Proficiency in social media platforms and marketing tools (e.g., Canva, Buffer, Meta Business Suite).
  • Experience managing vendor/supplier relationships is a plus.
  • Passion for the beauty and wellness industry.
  • Knowledge of customer service best practices.
  • Graphic design and/or basic video editing skills.
  • Previous experience in a startup or fast-paced environment.
