We are seeking a highly organized, proactive, and resourceful Executive Assistant to support our CEO in overseeing the operational functions across all business lines. Job Description/Requirements
Responsibilities:
Executive Support
- Serve as the right hand to the CEO, managing calendars, meetings, and communications.
- Track operational goals, project timelines, and business initiatives.
Operations Management
- Coordinate with spa management to ensure optimal daily operations and customer satisfaction.
- Oversee customer service and engagement for both eCommerce platforms (hair and beauty products).
- Monitor order fulfillment and resolve escalated customer inquiries when necessary.
Content & Marketing
- Manage and update content on all company websites, ensuring alignment with brand and promotional strategies.
- Plan and execute social media marketing campaigns across platforms (Instagram, Facebook, TikTok, etc.).
- Collaborate with content creators and designers to maintain a consistent brand voice and visual identity.
Vendor & Supplier Relations
- Manage communications with suppliers and vendors, ensuring timely procurement and quality assurance.
- Support negotiations, contract tracking, and performance evaluations of vendors.
Team & Communication Liaison
- Act as a bridge between the CEO and department leads, especially at the spa location.
- Facilitate staff meetings, prepare agendas, and document key action items.
Requirements:
- Bachelor’s degree in Business Administration, Communications, Marketing, or a related field.
- Minimum of 2 years of relevant work experience as an Executive Assistant, Operations Manager, or in a similar support role.
- Proven experience as an Executive Assistant, Operations Manager, or similar role.
- Strong organizational and multitasking skills with high attention to detail.
- Familiarity with eCommerce platforms (e.g., Shopify, WooCommerce) and CRM tools.
- Excellent written and verbal communication skills.
- Proficiency in social media platforms and marketing tools (e.g., Canva, Buffer, Meta Business Suite).
- Experience managing vendor/supplier relationships is a plus.
- Passion for the beauty and wellness industry.
- Knowledge of customer service best practices.
- Graphic design and/or basic video editing skills.
- Previous experience in a startup or fast-paced environment.
