Job Summary

As an administrative executive, you are responsible for providing high-level administrative support to executives in the workplace, such as taking calls, scheduling meetings, managing executive requests, and other office duties. You are expected to oversee office administrative functions as well.

Job Description/Requirements

Responsibilities:

  • Provide administrative support and solutions to ensure a conducive and efficient work environment for all staff.
  • Implement all administrative policies using standard schedules, templates, and checklists.
  • Maintain accurate records and manage office inventory, ensuring critical stock levels are maintained and wastage is minimized.
  • Process and ensure prompt settlement of utility bills, government levies, vendor payments, and rents.
  • Manage company assets such as vehicles, health and insurance policies, and ensure timely maintenance and fueling of official cars.
  • Supervise office repairs, renovation projects, and manage artisans and vendor relationships.
  • Coordinate the daily cleaning and monthly deep cleaning schedule for Office Assistants, including their duty rotations.
  • Ensure an organized and well-stocked supply of office consumables including stationery, toiletries, electrical items, and lab supplies.
  • Interface with vendors, GSM networks, and utility providers to ensure uninterrupted services and resolve complaints.
  • Raise payment memos and reconcile expenses for administrative activities.
  • Create an enabling office culture through internal events and activities.
  • Coordinate and publish the monthly Staff News Update.
  • Provide general support to visitors and assist other departments as needed.
  • Perform any additional duties as assigned by the Line Manager in line with the company’s goals.


Requirements:

  • Bachelor's degree (B.Sc.) in Biological Sciences or a relevant discipline.
  • 2–3 years of hands-on experience in administrative roles, preferably in a structured organization.
  • Full knowledge of office management systems, tools, and procedures.
  • Strong communication and interpersonal skills.
  • Excellent organizational, planning, and multitasking ability.
  • Proficiency in Microsoft Office Suite (Word, Excel).
  • Basic bookkeeping and budget management skills.
  • Professional demeanor, ability to take initiative, and attention to detail.
  • A proactive and supportive team player with a can-do attitude.
