Job Summary
Our client, a reputable real estate construction company, is seeking to hire a competent and detail-oriented Admin Officer for a two-month, project-based contract, with potential for extension. The Admin Officer will provide essential support to ensure efficient administrative operations throughout the project lifecycle.

Job Description/Requirements
Responsibilites:
- Oversee day-to-day administration during the project period, ensuring uninterrupted office support services.
- Serve as the central point for managing communications and correspondence related to the project.
- Organize and systematize digital and physical files related to contracts, logistics, and communications.
- Ensure availability and functionality of office tools, supplies, and equipment needed for project delivery.
- Prepare and manage official communications, internal memos, and project-related reports.
- Maintain accurate records for staff attendance, logistics, and activity tracking linked to project milestones.
- Support preparation of project documentation for audits, reports, or client reviews.
- Assist with compliance-related documentation including safety checklists, permits, and procedural records.
- Coordinate logistics for project and site teams including transportation, accommodation, and site communication tools.
- Track materials dispatch, and field movement schedules, and ensure documentation of all logistics transactions.
- Liaise with project leads and site supervisors to manage urgent administrative needs in real-time.
- Implement short-term administrative procedures tailored to support the project’s success.
- Monitor adherence to internal protocols and regulatory requirements during the contract period.
- Establish basic reporting tools and templates for ongoing admin tasks and workflows during the engagement.
- Support HR and Finance teams with documentation, data entry, and file management related to the project.
- Schedule project meetings, draft minutes, and track follow-up actions tied to project administration.
- Carry out other short-term assignments as directed by project supervisors or admin leads.
Requirements:
- HND/Bachelor’s degree in Business Administration, Office Management, or related field.
- 2-3 years of experience in a similar administrative role, preferably in construction or real estate.
- Strong proficiency in MS Office Suite and digital file management systems.
- Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines in fast-paced settings.
- Strong communication, organizational, and interpersonal skills.
- High level of integrity, confidentiality, and attention to detail.
