Job Description/Requirements
Responsibilities:
Daily Administrative Support:
- Responsible for handling the company's daily administrative affairs, including answering the phone, handling emails, receiving visitors, etc.
- Maintain office order and cleanliness, and manage the purchase and distribution of office supplies.
- Arrange and coordinate meetings, travel and other activities.
Clerical Work:
- Write and edit letters, reports, meeting minutes and other clerical materials.
- Manage and archive company documents to ensure the accuracy and confidentiality of information.
Data Management:
- Update and maintain the company database to ensure the accuracy of customer and supplier information.
- Assist in preparing sales reports and other analytical data.
Communication and Coordination:
- Serve as a communication bridge between various departments within the company and external customers and suppliers.
- Handle and follow up on customer and supplier inquiries and complaints to ensure timely response and resolution of problems.
Support the Sales Team:
- Assist the sales team in preparing sales materials, presentations, and promotional materials.
- Assist in arranging sales training courses and managing student registration and feedback.
Other Administrative Affairs:
- Complete other tasks assigned by managers and other senior management as needed.
Requirements:
- Diploma or degree in administration, business management or related fields.
- At least 1-2 years of relevant work experience, experience in sales or service companies is preferred.
- Proficiency in office software (such as Microsoft Office suite).
- Good organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficient in problem-solving and able to work efficiently under pressure.
- Fluent in English, and basic Swahili skills will be a plus.
- Careful, detail-oriented, with a high sense of responsibility and professional ethics.
- Teamwork spirit, proactive, and willing to accept challenges.
- Ability to multitask in a fast-changing work environment and provide efficient support to promote the smooth progress of company sales and daily operations.
