The Senior Church Administrator oversees the day-to-day operations of PPAfan, managing volunteers, coordinating services and events, ensuring timely execution of tasks, and supporting church leadership. The role requires strong organization, emotional intelligence, and hands-on leadership to keep church activities running smoothly.

Job Description/Requirements

Responsibilities:

Administrative & Office Management

  • Manage daily office operations, including correspondence, documentation, filing systems, and record-keeping.
  • Maintain accurate membership, attendance, and volunteer databases.
  • Oversee inventory, procurement, and management of office and church supplies.
  • Ensure proper maintenance of church facilities, equipment, utilities, and office infrastructure.
  • Handle communication flow—emails, official letters, memos, and internal notifications.


Volunteer Leadership & Coordination

  • Recruit, coordinate, and manage volunteers across all church units.
  • Create and manage duty rosters for Sundays, midweek services, and special programs.
  • Provide leadership, support, and supervision to volunteers to ensure reliability and excellence in service delivery.
  • Conduct briefings, follow-ups, and performance check-ins.


Operations & Event Management

  • Plan and coordinate all church events, services, and special programs end-to-end.
  • Ensure timely setup of the auditorium, sound, media, lighting, and logistics for every service.
  • Coordinate vendors, contractors, and external service providers as necessary.
  • Maintain the master church calendar and manage facility bookings.
  • Handle contingency planning and ensure seamless execution of events.


Communication & Member Engagement

  • Serve as central point of communication between leadership, departments, volunteers, and the congregation.
  • Draft and distribute service bulletins, announcements, updates, and meeting reminders.
  • Support pastoral teams with administrative tasks, meeting preparations, and documentation.
  • Ensure timely dissemination of information across relevant channels.


Financial & Administrative Support

  • Assist the finance team with basic bookkeeping, expense tracking, reporting, and payment processing.
  • Maintain transparency and organization in financial documentation and procurement records.
  • Help prepare administrative budgets and oversee day-to-day operational expenditure.


Leadership Support & Strategic Implementation

  • Work with the Senior Pastor and leadership to implement the church vision and policies operationally.
  • Identify gaps in operations and recommend improvements for efficiency and structure.
  • Handle sensitive information with confidentiality and uphold ethical standards in administration.



Requirements:

  • Bachelor’s degree in Administration, Management, Social Sciences, or a relevant field.
  • 3–5+ years of experience in administrative management, preferably in a church, NGO, or volunteer-driven organization.
  • Experience coordinating volunteers and managing large groups of people.
  • Strong proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Ability to manage databases, spreadsheets, and communication tools.
  • Event planning and project management capability.
  • Basic finance or bookkeeping skills (added advantage).
  • Exceptional organizational and multitasking abilities.
  • Strong leadership with the ability to motivate and hold volunteers accountable.
  • High emotional intelligence—able to navigate sensitivities, resolve conflicts, and relate with diverse people.
  • Excellent communication (written and spoken).
  • Strong follow-through and execution ability.
  • Detail-oriented, proactive, and dependable.
  • Ability to work under pressure, especially during major events or church seasons.
  • Mature Christian with strong integrity and a heart for service.
  • Demonstrated discretion and confidentiality with church and member information.
  • Humble, teachable, calm under pressure, and solutions-driven.
  • Alignment with PPAfan’s values, culture, and ministry direction.
