Personal Assistant to the Chief Operating Officer
Job summary
A group of companies with its headquarters in Lagos is seeking a detail-oriented and financially disciplined Personal Assistant to the COO with a strong accounting or auditing background. This role combines executive support with financial coordination responsibilities, ensuring operational decisions are supported by accurate financial tracking, documentation, and compliance processes. The ideal candidate understands financial controls, reporting structures, and audit processes, and can support the COO in maintaining financial visibility across multiple business units. To provide executive, financial coordination, and documentation support to the COO by assisting with financial reporting, audit preparation, operational expense tracking, and compliance monitoring across the group.

Responsibilities:
Executive Support:
- Manage the COO’s calendar, meetings, and documentation
- Prepare reports, presentations, and executive summaries
- Record meeting minutes and track financial and operational action items
- Maintain organized filing systems for financial and operational records
- Handle confidential financial information with discretion
Financial Coordination:
- Assist with tracking operational expenses and budgets across business units
- Compile financial summaries and variance reports
- Support monthly financial reporting processes
- Track vendor payments, approvals, and reconciliations
- Assist with invoice documentation and expense verification
- Monitor budget utilization for operational projects
Audit & Compliance Support:
- Assist in preparing documentation for internal and external audits
- Maintain financial records and supporting documentation for compliance
- Support implementation of internal control procedures
- Track approvals and documentation for financial transactions
- Assist in ensuring adherence to financial policies and procedures
Reporting & Documentation:
- Prepare weekly and monthly financial coordination reports
- Maintain expense trackers and financial logs
- Support preparation of dashboards for the COO
- Document financial workflows and process improvements
Operational Coordination:
- Liaise with finance teams across business units
- Support cross-functional financial initiatives
- Follow up on financial deliverables and reporting deadlines
- Assist with procurement documentation and approvals
Requirements:
- Bachelor’s degree in Accounting, Finance, Economics, or related field
- Minimum of 3 years’ experience in accounting, auditing, finance coordination, or financial administration
- Strong understanding of financial documentation and reporting processes
- Proficiency in Microsoft Excel and financial tracking tools
- High level of accuracy and attention to detail
- Strong organizational and communication skills
- Ability to maintain strict confidentiality
- Experience supporting senior leadership is an advantage
Preferred Qualifications:
- ACA, ACCA, ICAN (or in progress)
- Audit experience (internal or external)
- Experience working in a multi-entity organization
- Familiarity with financial controls and compliance processes
