Job Summary

INFYTEL COMMUNICATIONS LTD. a reputed IT Products and Solutions / Services company based in Lagos is looking for a Human Resources / Administration Manager to take care of the complete HR and Admin department of the company. The primary responsibility will be to manage the end to end recruitment process and manage office administration etc.

Job Description/Requirements

  • Taking the employee requirement document from various departments and get the required approvals from the departmental head and accordingly arrange to post job vacancies.
  • Arranging & conducting Interviews/Initial screening of the candidates/ coordinating in recruitment processes /training programs.
  • New employee files creation - Filing of all supporting docs of the employee on the respective files according to the labour law compliance.
  • Conduct employee orientation and facilitate newcomers joining formalities. Maintain and regularly update employee details of each employee.
  • Prepare and submit all relevant HR letters/ documents/ certificates as per the requirement of employees in consultation with the management.
  • Attendance Management - Maintain all the attendance and leave records of the employees. Procuring all the leave applications and forwarding them to departmental head for salary process and records.
  • Resolve grievances or queries that any of the employees have. Escalate to the right level depending on the nature of the grievance or issue.
  • Engage with employees on a regular basis to understand the motivation levels of people in the organization.
  • Monitoring the movements of employees by maintaining a movement register.
  • Monitoring housekeeping staff, canteen facilities, toilets and washing facilities, general admin functions.
  • Manage office supplies stock and place orders in advance to ensure a minimum stock is maintained.
  • Organize a filing system for important and confidential company documents.
  • Taking minutes of meeting during an internal meeting or when requested to do so.
  • Organizing travel and accommodation for staff and customers.
  • Prepare regular reports on expenses and office budgets.
  • Arrangement of any internal and external events by the company.
  • Be a point of contact for all the employees and Provide administration support to all the employees of the organisation.
  • Arrange to issue a visa invitation letter or any other required document and Collect supporting documents for visa process for a foreign national coming to Nigeria after due approval and authorisation from the department head.
  • Take care of complete Resignation Process of the employee -a collection of company assets, coordination with the accounts department and head office on work & company assets handover by the employee, ensure to release the employee within a stipulated time. Conduct exit interviews for employees and record them accordingly.
  • Coordination for the issuance of a new insurance card/renewal of the cards & bank a/c opening – Ensure to get the insurance card and bank a/c opening as soon as the employee join- regular coordination with the Insurance and banking department.
  • Monthly meeting with the director and the departmental head – Discussion regarding maintaining the employee relations and solving the new issues or queries raised by the employees.
  • Handle all the employee grievance related end to end employee issues, misconduct and other disciplinary concerns – Conduct investigation, collect proof and prepare the preliminary report and submit it to the department heads.
  • Conduct regular employee satisfaction surveys.
  • Conduct and arrange regular employee training programs as per the requirement of the organisation and also the interest and background of the employee.
  • Information about major competitors, Relevant industry laws and regulations, Contact information for professional associations
  • Details about major clients, such as birthdays and work anniversaries
