Job Summary

We are looking for a pleasant Front Desk Officerto undertake all receptionist and clerical duties at the desk at our main entrance. You will be the “face” of the company for all visitors and will be responsible for the first impression we make. The ideal candidate will have a friendly and easygoing personality while also being very perceptive and disciplined. You should be able to deal with complaints and give accurate information. A customer-oriented approach is essential. The goal is to make guests and visitors feel comfortable and valued while on our premises.

  • Minimum Qualification: HND
  • Experience Level: Entry level
  • Experience Length: 2 years

Job Description/Requirements

Responsibilities:

  • Answer incoming calls, respond to inquiries, and provide assistance to customers in a timely and professional manner
  • Handle customer complaints and resolve issues with patience and empathy, aiming for a positive resolution
  • Provide accurate and detailed information about products, services, pricing, and promotions.
  • Process orders, returns, and exchanges efficiently and accurately.
  • Maintain customer records and update relevant information in the system.
  • Collaborate with internal teams to address customer inquiries or escalate issues as necessary.
  • Assist in coordinating and scheduling appointments or service requests.
  • Follow company guidelines and protocols to ensure consistent and high-quality customer service.
  • Continuously enhance product knowledge to effectively address customer needs and inquiries.
  • Keep the front desk tidy and presentable with all necessary materials (pens, forms, paper, etc.)
  • Greet and welcome guests
  • Answer questions and address complaints
  • Answer all incoming calls and redirect them or keep messages
  • Receive letters, packages, etc., and distribute them
  • Prepare outgoing mail by drafting correspondence, securing parcels, etc.
  • Check, sort, and forward emails.
  • Monitor office supplies and place orders when necessary
  • Keep updated records and files




Requirements:
  • Minimum academic qualification of an HND in any related discipline 
  • Previous customer service experience in a similar role is preferred.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with the ability to build rapport with customers.
  • Problem-solving abilities and a solution-oriented mindset.
  • Ability to remain calm and professional in challenging situations.
  • Proficiency in computer systems and customer service software.
  • Knowledge of the specific industry or products/services is a plus.
  • Full-time availability to work on-site at our location in Lagos, Nigeria.
  • Excellent attendance and punctuality.
  • Ability to work collaboratively within a team environment
