Job Description/Requirements
Responsibilities:
Executive and Administrative Support:
- Manage the principal's calendar, appointments, meetings, and travel arrangements efficiently.
- Prepare and organize internal and external meetings, including agenda preparation, logistics, and follow-ups.
- Draft, review, and manage correspondence, reports, memos, and presentations on behalf of the principal.
- Serve as the first point of contact for all internal and external communications, maintaining professionalism and confidentiality at all times.
Strategic and Operational Support:
- Support in tracking key deliverables, business priorities, and project timelines.
- Coordinate interdepartmental communications and ensure follow-up on management decisions and action items.
- Conduct research, compile data, and prepare briefs or reports for decision-making.
- Represent the principal in select meetings or engagements when required.
Relationship and Communication Management:
- Liaise with senior executives, clients, partners, and stakeholders to ensure seamless communication and collaboration.
- Maintain strong working relationships across all levels of the organization.
- Ensure the principal is well-informed, prepared, and equipped for meetings and public engagements.
Documentation and Record Management:
- Maintain accurate and organized electronic and paper records, including confidential files and corporate documents.
- Manage approvals, signatures, and document flow for the principal’s office.
- Oversee document formatting, proofreading, and presentation to ensure professionalism and accuracy.
Event and Travel Coordination:
- Plan and manage complex travel itineraries, visas, accommodation, and logistics.
- Coordinate high-level corporate events, meetings, and conferences as directed.
- Ensure smooth execution of all engagements involving the principal.
Requirements:
- Minimum of a Bachelor’s Degree (BSc) in Business Administration, Management, Social Sciences, or a related field.
- Minimum of 3 years of proven experience supporting senior executives, preferably at the top management or C-suite level.
- Proficiency in Microsoft Office Suite (Word,
- Excel, PowerPoint, Outlook) and digital collaboration tools (Google Workspace, Zoom, etc.).
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities with keen attention to detail.
- High degree of professionalism, discretion, and integrity in handling sensitive information.
- Strong interpersonal and relationship management skills.
- Ability to anticipate needs, think critically, and offer practical solutions.
- Strong time management and prioritization skills in a dynamic work environment.
- Poise, diplomacy, and confidence in interacting with high-profile individuals.
