Operations Coordinator
Job summary
We are a growing creative marketing agency specializing in branding, digital strategy, and campaign execution for purpose-driven organizations. The Operations Coordinator plays a critical support role within the operations department. This individual will assist in managing internal systems, documentation, workflow tracking, and administrative coordination across teams including Design, Web, Project Management, and Marketing. This is not a passive administrative role. We are looking for someone who is detail-oriented, structured, solution-driven, and eager to grow within operations leadership.

Responsibilities:
Operational & Administrative Support:
- Assist the Senior Operations Manager in implementing and maintaining internal workflows and SOPs.
- Maintain organised documentation across internal systems and shared drives.
- Support onboarding processes for new hires and contractors.
- Track internal deadlines and ensure timely completion of administrative tasks.
Workflow & Systems Coordination:
- Support management of project boards (Asana or similar platforms).
- Monitor task progress and flag delays or bottlenecks.
- Assist in maintaining agency calendars and key operational timelines.
- Ensure consistent use of internal processes across teams.
Internal Communication & Reporting:
- Prepare meeting agendas and capture notes during internal operations meetings.
- Provide weekly internal status updates to the Senior Operations Manager.
- Support preparation of operational reports and documentation summaries.
- Ensure Slack, email, and internal communications remain organised and action-oriented.
Cross-Department Support:
- Coordinate with Design, Web, Marketing, and Project Management teams to ensure smooth handoffs.
- Assist in organising internal asset libraries and shared resources.
- Support light coordination for campaigns, internal initiatives, or agency events as needed.
Continuous Improvement:
- Identify inefficiencies in current workflows and suggest improvements.
- Assist in refining templates, trackers, and reporting systems.
- Contribute to building scalable operational systems as the organisation grows.
Requirements:
- 3-5 years of experience in operations, administrative coordination, or project support.
- Strong organisational skills and attention to detail.
- Proficiency in Google Workspace (Docs, Sheets, Drive) and Dropbox.
- Familiarity with task management tools such as Asana, Notion, or Monday.com.
- Strong written communication skills.
- Ability to work independently in a fully remote environment.
Preferred Qualifications:
- Experience working in a creative agency, marketing, or digital environment.
- Familiarity with design and content tools such as Canva and/or Adobe Creative Suite (for light formatting, asset updates, or internal support tasks).
- Experience using social media scheduling platforms (e.g., Later, Hootsuite, Meta Business Suite).
- Understanding of creative workflows and asset management systems.
- Experience supporting leadership or executive teams.
