Our client is an indigenous oil and gas servicing company based in Lagos - Nigeria. We are seeking a dynamic and results-driven individual for the role of Executive Assistant to the Chief Executive Officer. The role is responsible for handling confidential information, managing schedules, coordinating meetings, and facilitating communication between the CEO, board members, and other stakeholders.

Job Description/Requirements
Responsibilities:
Schedule management:
- Responsible for scheduling which includes setting up travel, meetings, speaking engagements and other appointments for the CEO.
- In addition to making appointments, this may also involve ensuring there are no scheduling conflicts and making sure executives know where they need to be and when.
Office management:
- Overseeing the work of clerical and other administrative employees, as well as making sure that everything is in place for the office to function smoothly.
- Tasks may range from keeping up with supply inventory to negotiating leases and purchasing.
Communication Liaison:
- Manages the flow of information like screen phone calls, open and sort mail, and summarize reports and memos that are received before passing the information on to the CEO.
- Also passes information from the CEO office to the respective employees as instructed.
Information Preparation:
- Preparing and formatting information for internal and external distribution.
- This may include writing letters and memos, compiling data for reports, creating computerized presentations, writing reports, transcribing dictation, editing, proofreading and other information preparation duties.
- Records Management: Responsible for setting up, organizing and managing both electronic and paper filing systems, as well as taking steps to maintain that the company follows all applicable record-keeping requirements.
- Confidentiality: Handle sensitive and confidential company and legal information with discretion.
- Project management: Monitor the progress of legal and administrative projects, providing updates to senior leadership.
- Compliance: Ensure adherence to legal and regulatory requirements.
- Liaise with internal and external contacts.
- Monitor and manage deadlines for projects involving the CEO.
Requirements:
- Minimum of a degree in law or a related field.
- Minimum of 5 years of experience as an Executive Assistant, preferably in the oil & gas or a corporate setting.
- Experience supporting C-suite executives is highly desirable.
- In-depth knowledge of legal terminology, documents, and processes is crucial.
- Proficiency in the Microsoft Office Suite, along with legal software and document management systems.
- Strong organizational, time management, and communication skills, with a high level of attention to detail and the ability to handle multiple tasks and deadlines.
- Strategic thinking and problem-solving abilities.
- Good project management, organizational, and time management skills.
- Excellent interpersonal and communication skills, with the ability to engage and influence stakeholders at all levels.
- A high level of discretion is necessary to handle sensitive information.
Preference: Individual with a background in law
