Farm Administrator
Job summary
The Farm Administrator (with accounting duties) will manage the farm’s administrative activities and financial records. The role ensures proper documentation, expense monitoring, reporting, payroll coordination, and smooth communication across all farm departments.

- Keep all employee records, contracts, leave records, and staff files updated.
- Ensure all daily, weekly, and monthly departmental reports are
- collected, checked, and properly filed.
- Maintain supplier, vendor, and service provider records.
- Keep company policies, SOPs, and operational documents properly stored and accessible.
- Serve as the link between management and all departments (poultry, piggery, Fishery & warehouse).
- Follow up with departments to ensure reports and required documents are submitted on time.
- Assist department heads with administrative paperwork and approvals.
- Create monthly or quarterly budget and ensure that purchases are well within budget and meet the needs of each production unit
- Ensure expense requisitions, purchase orders, sales invoices & receipts are well- documented and filed
- Ensure purchase requests are properly documented and approved before purchases are made.
- Maintain records of quotations, purchases, and supplier documents.
- Confirm delivery of items and ensure all documents are properly filed.
- Monitor staff attendance, leave records, and duty schedules.
- Ensure supervisors submit accurate daily reports.
- Keep proper records of staff movement and workforce documentation.
- Prepare administrative memos, notices, and internal communications.
- Record meeting notes and maintain administrative records.
- Compile administrative reports for management review when required.
- Ensure departments follow company administrative procedures.
- Report administrative issues or non-compliance to management.
- Support Human Resource in maintaining organized administrative systems across the farm.
- Maintain accurate records of all farm expenses and purchases.
- Manage petty cash and daily expense recording.
- Prepare weekly and monthly financial summaries.
- Monitor departmental spending and report unusual expenses.
- Support payroll preparation using attendance and approved allowances.
- Track inventory financial records for feed, medications, livestock inputs, and farm supplies.
- Assist with financial reconciliation and audit documentation.
- Bachelor’s degree in business administration, or related field.
- Minimum of 2 years’ experience in administration and accounting roles.
- Good knowledge of bookkeeping, reporting, and Excel.
- Strong record-keeping and organizational skills.
- Preferrably a female
