Job summary
The administrator is responsible for leading the organisation’s administrative function and ensuring that our systems, documentation and day-to-day administration operate efficiently. The successful candidate will support all departments by maintaining high-quality documentation, coordinating meetings, managing organisational records, supporting HR and grant administration, and continually improving administrative processes. The role requires someone who takes pride in producing accurate work, enjoys improving systems and can work independently while supporting a growing UK social enterprise. This opportunity is specifically structured for an independent contractor who is ordinarily based and working from Nigeria. Applicants must be able to continue providing the services from Nigeria for the foreseeable future. This role does not provide UK visa sponsorship, relocation assistance or a pathway to UK employment.

Responsibilities:
Organisation-wide Administration:
- Coordinate and manage day-to-day organisational administration.
- Provide administrative support across all departments.
- Manage competing priorities from authorised managers.
- Maintain organisational records, trackers and filing systems.
- Ensure administrative tasks are completed accurately and on time.
Document Quality Assurance:
- Produce professional documents including reports, policies, procedures, templates and organisational resources.
- Proofread documents for grammar, formatting, consistency and accuracy.
- Maintain organisational templates and document standards.
- Manage document version control and review schedules.
SharePoint & Systems:
- Maintain organised SharePoint libraries and document structures.
- Ensure documents are stored securely and can be easily located.
- Support colleagues in using organisational systems.
- Identify opportunities to improve workflows and administrative processes.
Meetings & Governance:
- Coordinate meetings and prepare agendas.
- Produce accurate meeting minutes and action logs.
- Monitor outstanding actions.
- Support governance and compliance administration.
HR & Organisational Support:
- Support recruitment administration, onboarding and personnel records.
- Maintain training, probation and DBS records where required.
- Assist with organisational policies and HR documentation.
Grant & Project Administration:
- Conduct grant research, maintain grant documentation and programme records.
- Support monitoring and reporting requirements.
- Assist managers with project administration across multiple programmes.
Continuous Improvement:
- Improve administrative systems and processes.
- Develop new templates and standard operating procedures.
- Identify practical ways to streamline routine administrative tasks and improve efficiency.
- Contribute ideas that strengthen organisational effectiveness.
Requirements:
- Minimum of three years’ experience in administration, operations support, or office coordination.
- Excellent written and spoken English.
- Exceptional organisational and time management skills.
- Excellent attention to detail.
- Strong Microsoft 365 skills.
- Experience using cloud-based document management systems.
- Confidence using technology and digital tools to improve productivity.
- Ability to manage multiple priorities independently.
- Professional communication skills.
- Understanding of confidentiality and GDPR principles.
- Reliable internet connection and suitable home working environment.
Desirable:
- Experience supporting a UK charity, Community Interest Company or social enterprise.
- Experience using Microsoft SharePoint and Microsoft 365.
- Experience using Asana or similar project management software.
- Experience supporting grant-funded programmes
- HR administration experience.
- Knowledge of safeguarding principles.

Location: Remote (Nigeria)
Remuneration: NGN 300,000-350,000 Monthly (depending on experience)
Reports to: Chief Executive Officer (CEO) and Operations Director
Working Hours: Monday to Friday (10:00 am–6:00 pm UK time), including a paid one-hour lunch break.
Working Condition:
- You will be engaged on a freelance basis, with monthly payments and a standard contractor agreement. You will work closely with our UK-based team and must be comfortable collaborating across time zones.
- Contractors are expected to maintain a professional remote working environment, reliable internet access, and availability during agreed working hours.
