Job Title: Executive Assistant (Immigration Services)

About the Role
A growing immigration services business focused on EB-1 and EB-2 (NIW) petitions is seeking a highly organized, proactive, and tech-savvy Executive Assistant to work directly with the Founder.
This is a lean setup, The right person will help bring structure, order, and systems to the business and support its growth.
The role is centered around documentation coordination, client communication, scheduling, and workflow management.
Key ResponsibilitiesExecutive & Administrative Support
- Manage the Founder’s calendar, meetings, and client consultations.
- Organize daily priorities and help structure the Founder’s workweek.
- Handle email and message follow-ups professionally and promptly.
- Act as a gatekeeper — helping the Founder focus on high-value work.
Immigration Case & Client Coordination
- Track EB-1 and EB-2 case stages using structured checklists.
- Follow up with clients for documents, updates, and outstanding requirements.
- Organize client files, evidence folders, drafts, and communication records.
- Maintain clear status updates so nothing is missed or delayed.
Operations & Growth Support
- Help build simple systems and workflows for a growing business.
- Maintain organized digital filing systems with strict confidentiality.
- Assist with onboarding new clients and maintaining accurate records.
- Support process improvement as the business expands.
Technology & Tools
- Use productivity tools such as:
- Google Workspace (Docs, Sheets, Drive, Calendar)
- Task & project tools (Notion, ClickUp, Trello, Asana, etc.)
- Use AI tools (e.g., ChatGPT, document summarization, workflow support) to improve efficiency.
- Comfortable learning new tools quickly as the business evolves.
RequirementsExperience
- Minimum of 3–6 years’ experience as an Executive Assistant, Immigration Assistant, Legal/Admin Assistant, or Operations Manager.
- Experience with immigration services, visa processing, or documentation-heavy work is a strong advantage.
Skills & Attributes
- Excellent written and spoken English.
- Highly organized, detail-oriented, and deadline-focused.
- Strong sense of confidentiality and discretion.
- Proactive — does not wait to be told what to do.
- Comfortable working remotely but responsive and accountable.
- Able to grow with a small business and take ownership.
Work Style & Availability
- Remote role, but must be resident in Lagos.
- Flexible during work hours as client needs arise.
- Comfortable working directly with a Founder in a fast-moving, evolving setup.
