We are seeking a highly proactive and detail-oriented Executive and Personal Assistant to provide comprehensive support to the Managing Director (MD). This individual will serve as a trusted coordinator, ensuring smooth communication, project follow-through, and day-to-day task management across the MD’s personal and professional responsibilities.

Job Description/Requirements
Responsibilities:
- Serve as the MD’s primary point of contact for internal and external stakeholders.
- Manage a complex calendar, including scheduling meetings, calls, appointments, and events.
- Coordinate domestic and international travel: flights, accommodations, visas, itineraries, and logistics.
- Prepare briefing notes and ensure the MD is well-prepared for all meetings and engagements.
- Handle personal tasks and errands such as reservations, appointments, and other requests.
- Prepare, proofread, and edit high-quality documents, presentations, and reports.
- Manage personal administration for the MD and family, including schedules for the MD, the household, and the children.
- Prepare monthly household reports covering spend, domestic personnel activities, and relevant updates.
- Manage household inventory using digital tools, ensuring accuracy and timely updates.
- Supervise all domestic staff, handling engagement activities including book reviews, performance reviews, scheduling, and resolution of concerns.
- Coordinate with household vendors, service providers, and maintenance personnel; process invoices and track expenses as needed.
- Ensure follow-through on action items and outstanding deliverables.
- Track progress and provide status updates on key initiatives and strategic projects.
- Support cross-functional collaboration by liaising with different departments to gather relevant updates.
- Coordinate executive offsites, strategic retreats, board meetings, and high-level engagements.
- Create and maintain project trackers and status dashboards to ensure visibility and accountability.
- Draft, review, and send professional communications on behalf of the MD.
- Organize and prioritize the MD’s inbox, flagging important messages and handling routine correspondence.
- Maintain a polished and professional tone in all written and verbal communications.
- Cultivate and maintain relationships with high-level stakeholders, partners, and clients.
- Handle highly sensitive and confidential information with the utmost integrity.
- Ensure secure handling and filing of important documents, both personal and corporate.
- Maintain awareness of compliance requirements and company policies regarding information sharing and documentation.
- Serve as the first point of contact for operational or data-related delivery issues.
- Take ownership of ad-hoc tasks and special projects, solving problems before they escalate.
- Continuously seek process improvements and ways to enhance the MD’s efficiency.
Requirements:
- First degree required.
- Experience supporting a C-level executive is a huge advantage.
- Demonstrated experience handling confidential matters with discretion.
- Proactivity and initiative are key requirements.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills
- Professional etiquette and business writing are a must.
- High emotional intelligence and interpersonal skills.
- Proficient in Microsoft Office Suite/Google Workspace, and other productivity tools.
- Ability to manage multiple priorities with a high degree of accuracy and speed.
- Strong problem-solving skills and ability to work independently.
