Job Description/Requirements
Responsibilities:
Administrative and Clerical Support
- Office Management: Maintain a tidy and organized office environment, manage office supplies inventory, and coordinate maintenance/repairs of office equipment.
- Documentation: Prepare, proofread, and format various documents, reports, presentations, and correspondence (letters, emails, memos).
- Record Keeping: Establish and maintain efficient physical and electronic filing systems for documents, records, and databases.
- Mail Handling: Sort, distribute, and handle incoming and outgoing correspondence, including packages and courier services.
Communication and Coordination
- Front Office: In the absence of the Front Desk Officer, Act as the first point of contact for external visitors and handle incoming phone calls, directing inquiries to the appropriate staff member.
- Scheduling: Manage and maintain executive/staff calendars, schedule meetings, appointments, and conference calls, and coordinate logistics (e.g., room booking, necessary equipment).
- Travel Arrangements: Arrange and coordinate complex domestic and international travel logistics, including flights, accommodation, and ground transportation.
- Liaison: Coordinate communication and workflow between various internal departments and external stakeholders.
Financial Reporting Assistance
- Expense Reports: Prepare and submit accurate expense reports and process invoices or requests for payment.
- Petty Cash: Manage and reconcile petty cash funds in line with company policies.
