Job summary
The Receptionist/Office Assistant is responsible for providing a professional first point of contact for visitors, clients, and employees while supporting the smooth day-to-day administration of the office. The role involves managing front-desk activities, handling calls and correspondence and maintaining office records

Responsibilities:
- Welcome and attend to visitors, clients, and guests in a friendly and professional manner.
- Answer, screen, and direct incoming phone calls and messages.
- Receive and respond to emails, correspondence, and general inquiries.
- Manage the reception area and ensure it is clean, organized, and presentable.
- Schedule appointments and meetings, and maintain the office calendar.
- Receive, sort, and distribute incoming and outgoing mail and documents.
- Maintain accurate records, files, and office documentation.
- Assist with photocopying, printing, scanning, filing, and other administrative tasks.
- Monitor office supplies and notify management when replenishment is required.
- Support staff with routine administrative and clerical duties.
- Coordinate meeting rooms and assist with preparation for meetings and events.
- Maintain confidentiality of company and client information.
- Assist with basic data entry and preparation of administrative reports.
- Liaise with vendors, service providers, and other stakeholders when required.
- Perform other duties assigned by the supervisor or management.
Requirements:
- Minimum of an OND in Business Administration, Secretarial Studies, Office Management, or a related field.
- Minimum of 1 year of experience as a Receptionist, Office Assistant, Administrative Assistant, or similar role.
- Excellent verbal and written communication skills.
- Good customer service and interpersonal skills.
- Proficiency in Microsoft Office Suite, especially Word and Excel.
- Strong organizational and time management abilities.
- Professional appearance, polite attitude, and good telephone etiquette.
- Ability to multitask and work effectively under pressure.
- Strong attention to detail and accuracy.
- Good filing, record-keeping, and administrative skills.
- Ability to work independently and as part of a team.
- High level of professionalism, confidentiality, reliability, and integrity.
