Job summary
Highly organized Executive Assistant needed to support daily operations, client communication, project coordination, scheduling, and administrative management. Responsibilities:
Administrative Management:
- Manage daily administrative and operational activities of the company.
- Organize and maintain company records, files, agreements, proposals, invoices, and project documentation.
- Coordinate meetings, appointments, calendars, and business schedules.
- Prepare reports, presentations, internal documents, and correspondence when required.
- Ensure accurate record-keeping and document management.
Executive Support:
- Provide direct support to the Creative Director and management team.
- Assist in managing priorities, schedules, meetings, and business engagements.
- Follow up on action items and ensure timely execution of assigned tasks.
- Prepare meeting notes, summaries, and follow-up communications.
- Support decision-making processes through proper organization and reporting.
Client Communication & Relationship Management:
- Act as a professional point of contact between clients and the company.
- Coordinate client onboarding and project initiation processes.
- Manage client inquiries, follow-ups, updates, approvals, and feedback.
- Ensure timely communication and proper documentation of client interactions.
- Schedule client meetings, presentations, and project review sessions.
Project Coordination:
- Assist in coordinating branding, design, marketing, advertising, and development projects.
- Track project timelines, milestones, and deliverables.
- Ensure team members receive relevant project information and updates.
- Monitor project progress and communicate status updates to management.
- Help ensure projects are delivered according to agreed timelines.
Requirements:

- Experience using project management tools such as Trello, Notion, ClickUp, or similar platforms.
- Ability to prepare reports, spreadsheets, and presentations.
- Minimum of OND, HND, or Bachelor's Degree in Business Administration, Management, Marketing, Mass Communication, Public Administration, or a related field.
- Previous experience as an Executive Assistant, Administrative Officer, Operations Coordinator, Office Administrator, or similar role is preferred.
- Experience working in a media, marketing, branding, advertising, or creative agency environment is an added advantage.
- Strong computer literacy and administrative competence.
- Demonstrated ability to manage multiple responsibilities effectively.
