The Personal Assistant will provide administrative and personal support to the CEO by managing schedules, organizing meetings, handling correspondence, and ensuring smooth daily operations. Facilitate communication, coordinate events, and follow up on tasks while maintaining confidentiality and anticipating the CEO’s needs.

Responsibilities:

  • Provide comprehensive administrative and personal support to the CEO, including managing calendars, scheduling appointments, and organizing meetings
  • Handle communication on behalf of the CEO, including emails, phone calls, and general correspondence.
  • Assist in planning and coordinating company events and internal meetings
  • Maintain strict confidentiality when handling sensitive company and personal information.
  • Monitor and follow up on key tasks and projects, ensuring deadlines and deliverables are met..
  • Liaise with internal teams, clients, and external stakeholders to ensure smooth communication and coordination.
  • Support the CEO in maintaining relationships with clients and key partners.
  • Manage travel arrangements and itineraries, and prepare or edit documents, presentations, and reports as needed.
  • Other responsibilities as assigned by management.


Requirements:

  • B.Sc. in Business Administration, or related fields
  • 2 + years of experience as a Personal Assistant or in a similar administrative role
  • Exceptional ability to manage and prioritize multiple tasks, schedules, and responsibilities simultaneously while maintaining a high level of accuracy and efficiency.
  • Strong verbal and written communication skills, with the ability to draft clear and concise emails, reports, and presentations on behalf of executives
  • Ability to communicate effectively with internal teams and external stakeholders..
  • High level of discretion and professionalism in handling sensitive company and personal information.
  • Good understanding of customer service principles, ensuring a positive and professional experience when engaging with clients and partners.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office tools such as Google Workspace, project management software (e.g., Notion), and digital communication platforms (e.g., Zoom, Slack).                    
  •  Demonstrates a strong understanding of best practices in supporting senior executives, including effective calendar management, prioritizing communications, and maintaining efficient workflows.
  • Knowledgeable in general office administration, including document organization, filing systems, and routine administrative processes. 
  • Experienced in using scheduling tools such as Google Calendar, Microsoft Outlook, and apps like Calendly to manage schedules.    
  • Skilled in coordinating travel arrangements, including booking platforms, itinerary planning, and managing logistics for both local and international trips.
  • Proficient in presentation tools such as Microsoft PowerPoint, Canva, and Google Slides to support meeting and event preparation.
  • Possesses a basic understanding of budgeting and invoicing processes, particularly in relation to travel, events, and operational expenses.
