Job Description


Principal Duties and Responsibilities: 

• Manage the day-to-day administration of the CEO’s office and diary. 

• Develop and maintain an efficient documentation and filing (electronic and hard) process. 

• Write minutes of meetings and produce memos of such for review. 


Job Summary: 

• Provide secretarial and administrative support services to the CEO. 

• Act as custodian of sensitive matters and information relating to peculiar issues within the CEO’s office. 

• Cross-examine documents for CEO’s review to ensure quality control and compliance to Activedge procedures and policies. 

• Monitor and manage the CEO’s internal and external correspondence. 

• Develop organizational corporate communications materials. 

• Obtain weekly/ monthly activity reports from departmental tem leads and collate for the CEO’s review. 

• Process all requisitions for the CEO’s office. 

• Assist the CEO in preparing reports and presentations. 

• Perform quality control checks on assigned CEO’s presentations, to ensure proper formatting and elimination of errors. 

• Respond to customer queries and requests on non-technical issues and escalate as required to the relevant personnel. 


Principal Duties and Responsibilities:

• Ensure and coordinate relevant and adequate logistics for the CEO and other events connected to the CEO’s office. 

• Handle/ oversee travel and other logistics arrangements for the CEO. 

• Process the CEO’s official expenditures and claims. 

• Help the CEO manage workflow and office deadlines. 

• Take and relay accurate and timely messages from telephone callers and respond to queries where possible. 

• Liaise with relevant individuals, external organizations, etc to arrange meetings and prepare agendas. 

• Liaise with various departmental heads as required by the CEO. 

• Process the CEO’s official expenditures and claims. 

• Perform other duties as assigned by the CEO. 


Competency and Skill Requirements:

• Excellent typing skills. 

• Proficiency in the use of MS productivity tools (especially MS Word, Power point and Excel). 

• Basic data analysis skills. 

• Ability to work with minimal supervision. 

• Intermediate organizational skills. 

• Intermediate communication skills – verbal and written. 

• Proven ability to work under pressure and to tight deadlines. 

• Good level of self-confidence. 

• Attention to detail. 

• Intermediate problem solving skills. 

• Ability to handle multiple priorities. 


Key Performance Indicators:

• Seamless scheduling of the CEO’s appointments. 

• Timely delivery of assigned tasks. 

• Level of customer (internal and external) satisfaction. 

• Prompt resolution of issues. 

• Accuracy and timeliness of management information and reports.
