Job Summary

We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling correspondence, and assisting with various administrative tasks. The Executive Assistant will serve as the primary point of contact for internal and external stakeholders, demonstrating professionalism and discretion in all interactions.

Job Description/Requirements

Responsibilities:

  • Schedule and coordinate meetings, and appointments
  • Create and Manage yearly class calendars and schedules
  • Manage calendar bookings, community meetups and Zoom meetings
  • Anticipate scheduling conflicts and proactively resolve them.
  • Serve as the primary point of contact for executives, screening and directing phone calls and emails.
  • Draft, proofread, and edit emails, reports, and presentations.
  • Maintain confidentiality and discretion in handling sensitive information.
  • Prepare and organize documents on a drive as needed.
  • Manage expense reports, invoices, and other financial documentation relating to students and organizations.
  • Conduct research and compile data to support executive decision-making.
  • Coordinate logistics for company events, conferences, InPerson classes, and meetings.
  • Act as a liaison between executives and external stakeholders, including clients, vendors, and partners.
  • Prioritize and manage multiple tasks simultaneously, ensuring deadlines are met.
  • Anticipate needs and proactively address issues to support the efficiency of the executive team.
  • Maintain organized systems for tracking tasks, projects, and deadlines.


Requirements:

  • Bachelor’s degree in business administration, communications, or related field preferred.
  • Proven experience as an executive assistant or similar role, preferably supporting C-level executives.
  • Excellent communication skills, both written and verbal.
  • Strong organizational and time management abilities.
  • Proficiency in Microsoft Office Suite, Google Docs, and other relevant software.
  • Ability to maintain professionalism and confidentiality at all times.
  • Strong attention to detail and accuracy.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Ability to work independently with minimal supervision while also functioning as part of a team.
