Responsibilities:
Administrative & Operational Support:
- Manage email communications and calendar scheduling
- Coordinate tasks and ensure assignments are completed on time
- Organize files, documents, and digital records
Research & Reporting:
- Conduct online research and compile clear summaries or reports
- Assist with data organization and information analysis
- Support report preparation when required
AI & Productivity Support:
- Use AI tools such as ChatGPT to assist with research, drafting, and documentation
- Improve workflow efficiency through effective use of digital tools
- Assist in setting up or improving simple workflows using productivity tools and automation where appropriate
Communication & Coordination:
- Handle inbound and outbound calls professionally when required
- Maintain clear and professional communication across tasks and updates
Requirements:
- Minimum 2 years of experience as a Virtual Assistant or Administrative Assistant
- Strong written and verbal communication skills
- Demonstrated experience using AI tools such as ChatGPT for productivity or research
- Strong online research and information analysis skills
- Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar)
- Ability to manage multiple tasks and meet deadlines independently
- Highly organized with strong attention to detail
- Reliable internet connection and quiet work environment
- Familiarity with productivity or task management tools (e.g., Notion, Trello, Asana, or similar platforms)
- Highly organized and detail-oriented
- Proactive and able to work independently
- Comfortable learning and using new digital tools
- Skilled at using AI tools to improve work efficiency
- Comfortable using digital tools, systems, and simple automation to improve efficiency and streamline workflows.
