Job summary

In our Insecticide production and sales -based business, an Administrative Officer is the engine room of the office. our business activities revolve around tangible goods, inventory, shipping, and supply chains. Our Administrative Officer should be able to bridge the gap between the warehouse, the sales team, and upper management.

Job descriptions & requirements

Responsibilities:

  • Monitoring inventory levels using management software and alerting the procurement team when stock is running low.
  • Handling routine communication with suppliers, tracking incoming shipments, and processing delivery notes.
  • Verifying purchase orders against delivery invoices to ensure accuracy. Logistics & Order Fulfillment Support
  • He/she ensures that the journey from "order placed" to "order shipped" happens without a hitch.
  • Preparing shipping labels, waybills, and customs documentation (if dealing with international shipping).
  • Serving as the main point of contact for third-party logistics (3PL) providers and courier services. 
  • Monitoring delayed shipments and handling routine customer or sales-team inquiries regarding order status.
  • Keeping the daily office ecosystem organized, functional, and stocked.
  • Managing office and packaging supplies (boxes, tape, bubble wrap, stationery) so that packing never grinds to a halt.
  • Maintaining accurate, up-to-date digital and physical records of sales, expenses, and customer databases.
  • Scheduling internal team meetings (e.g., weekly sales or production alignments) and taking minutes.
  • Assisting the finance or accounting department with day-to-day transactions.
  • Generating invoices and receipts for B2B clients or retail distributors.
  • Logging daily operational expenses and managing petty cash.


Requirements:

  • Accuracy & Attention to Detail: Zero-error data entry for inventory and shipping addresses.
  • Anticipating shortages in packaging materials or office supplies before they completely run out.
  • Proficiency in modern office tools (Google Workspace/MS Office) and a quick learning curve for Inventory Management Systems.
  • Serving as a clear, polite, and effective bridge between the warehouse staff, the sales team, and external vendors.
  • Ability to multitask and prioritize urgent shipping crises over routine filing.


Remuneration: NGN 80,000
