Job summary

The Admin & Business Development Officer is responsible for managing daily office operations while actively supporting revenue growth. The role ensures smooth administration, proper documentation, regulatory compliance, and disciplined office management, alongside lead generation, proposal preparation, and client engagement.

Job descriptions & requirements

Responsibilities:

Office Administration:

  • Oversee daily office activities to ensure structured and efficient operations
  • Supervise facilities, utilities, and office maintenance.
  • Manage procurement of office supplies and maintain inventory records.
  • Maintain the asset register and safeguard company property.
  • Ensure proper physical and digital filing systems.


Sales & Business Development:

  • Generate and qualify leads through research, referrals, and outreach.
  • Prepare and customize proposals, quotations, and service agreements.
  • Initiate client contact, schedule meetings, and present company services.
  • Follow up on proposals, manage negotiations within company guidelines, and convert prospects.
  • Track the sales pipeline, maintain client relationships, and submit weekly sales reports.


Documentation & Records Management:

  • Maintain organized records of contracts, agreements, staff files, and compliance documents.
  • Draft official letters, memos, and administrative communications.
  • Manage document approval workflows and tracking systems.
  • Handle confidential information professionally and securely.


Staff Coordination & HR Support:

  • Maintain attendance and leave records.
  • Support onboarding documentation for new staff.
  • Coordinate meetings and prepare minutes.
  • Monitor staff compliance with company policies.


Financial & Vendor Support:

  • Track administrative expenses and prepare monthly summaries.
  • Support invoice processing and payment coordination.
  • Maintain vendor records and service agreements.
  • Assist management with cost control and operational efficiency


Requirements:

  • Degree
