IT & Systems Operations Coordinator
Job summary
<p>The IT & Systems Operations Coordinator will be responsible for supporting the Founder in managing, maintaining, and scaling IMATA’s internal systems, digital infrastructure, and staff workspaces. This role is critical to ensuring that all operational, administrative, and performance systems function efficiently, accurately, and without disruption</p>

Responsibilities:
Staff Workspace Setup and Access Management:
- Create and manage staff accounts (emails, system logins, dashboards)
- Set up and assign access permissions based on roles
- Onboard new staff into IMATA systems and workflows
- Ensure all staff have the correct tools required for their role
- Maintain a structured and secure digital workspace
System Setup and Maintenance:
- Set up and maintain all operational systems, including:
- KPI tracking systems
- Admin dashboards
- Rider booking and data entry systems
- Monitor system performance and ensure minimal downtime
- Perform routine checks to ensure systems are functioning correctly
Data Management and Accuracy Control:
- Monitor and verify data entries across systems
- Identify discrepancies, inconsistencies, or missing data
- Work with relevant staff to correct errors promptly
- Ensure alignment between physical records and digital systems
Technical Support and Staff Assistance:
- Provide first-level technical support to all staff
- Resolve issues related to system access, usage, and functionality
- Train staff on how to use systems effectively
- Develop simple guides or processes to improve usability
Process Improvement and Automation:
- Identify inefficiencies in workflows and system usage
- Propose and implement improvements to increase efficiency
- Support automation of repetitive processes where possible
- Continuously optimise system performance and usability
Reporting and Founder Support:
- Submit structured weekly reports covering: Issues identified, Fixes implemented, System performance status
- Provide insights and recommendations to improve operations
- Escalate critical issues to the Founder within defined timelines
Requirements:
- Strong proficiency in Microsoft Excel or Google Sheets
- Familiarity with digital tools, dashboards, and system workflows
- Basic understanding of data management and reporting
- Strong problem-solving and analytical skills
- Close attention to detail and accuracy
- Ability to organise and manage multiple systems simultaneously
- Knowledge of programming language
- Knowledge of workspace setup
- Excellent communicator
- Knowledge of data protection
