Job summary
The group project scheduler / planner is responsible for building, maintaining, and controlling the master project schedule across all entities and active workstreams within the Group. Responsibilities:
Master Schedule Development & Maintenance:
- Develop and maintain a consolidated Group Master Schedule covering all active and pipeline projects across all entities (VRL, VEC, ETIP, VAP, and other related Group companies).
- Break down complex programmes and projects into a structured WBS with clearly defined milestones, deliverables, and critical path activities across construction, energy transition, advisory, and other Group workstreams.
- Establish and enforce schedule baselines; track actual vs. planned performance and produce variance reports.
- Maintain phased sub-schedules for individual projects and reconcile them against the master programme.
- Update schedules weekly and after any significant scope or resource change.
Coordination & Communication:
- Coordinate with project leads, entity managers, technical partners, and government stakeholders to gather schedule inputs and validate assumptions.
- Prepare and circulate weekly look-ahead schedules, monthly progress reports, and dashboard summaries for the group principal.
- Identify and flag scheduling conflicts, resource clashes, and at-risk milestones in advance and propose corrective actions.
- Facilitate scheduling review meetings; capture actions, owners, and due dates; follow up to close open items.
Procurement & Contract Milestone Tracking:
- Track procurement timelines for all active vendor and contract awards across group entities from award to delivery to invoicing, including subcontracts, supply agreements, and service engagements.
- Monitor contractual milestone dates for TOR submissions, mobilisation deadlines, training cohort schedules, and kit delivery windows.
- Coordinate closely with the document controller to ensure schedule milestones align with submission and approval deadlines.
- Maintain a Live Procurement & Contract Status Tracker, updated in real time.
Resource Planning & Optimisation:
- Map resource requirements (personnel, equipment, and finance) against schedule activities and flag constraints to management.
- Assist in planning deployment of field teams across project sites and construction locations for VEC, VRL, and other group entities with on-ground operations.
- Support the group principal in sequencing and prioritising concurrent workstreams to optimise group throughput.
Reporting & Tools:
- Maintain scheduling tools and templates (MS Project / Excel / equivalent); produce Gantt charts, S-curves, and milestone trackers as required.
- Prepare inputs for board reports, investor presentations, and government submissions that require schedule data.
- Support development of financial models and cash flow projections tied to schedule activities.
Requirements:
- Bachelor's degree in engineering, project management, construction management, or a related field.
- Minimum 4 years of project scheduling/planning experience in infrastructure, construction, energy, or industrial projects.
- Proficiency in MS Project, Primavera P6, or equivalent scheduling software; advanced MS Excel required.
- Demonstrated experience managing multi-project or programme schedules with interdependencies.
- Experience working on government-funded or donor-funded infrastructure and energy projects is an advantage.
- PMP, CAPM, or equivalent certification is an advantage.
