Job Summary

The administrative officer will ensure the office/factory is running smoothly and all inventory is where it needs to be. Your job duties in this position are keeping track of inventory and shipping schedules, addressing the needs of departments within the company, and making sure the work environment is clean.

Job Description/Requirements

Responsibilities:

Administrative:

  • Manage office supplies stock and place orders.
  • Prepare regular reports on expenses and office budgets.
  • Maintain and update company databases.
  • Organize a filing system for important and confidential company documents.
  • Update office policies as needed, and Answer queries by employees.
  • Maintain a company calendar and schedule appointments.
  • Distribute and store correspondence (e.g., letters, emails, and packages)
  • Prepare reports and presentations with statistical data, as assigned.
  • Schedule in-house and external events.
  • Manage all equipment and schedule for servicing when due.
  • Manage the staff's apartment and ensure compliance by the staff.
  • Support employees with their day-to-day activities.
  • Prepare the monthly administrative budget for the company.
  • Manage the drivers efficiently and well.
  • Manage the cleaners and ensure they maintain a clean environment at all times.
  • Manage the security officers and ensure zero tolerance of theft within the facility.


Facility Management:

  • Ensure that the facility is fully operational with all utilities functioning properly.
  • Schedule and supervise maintenance repair work and assist with checking installation and servicing building equipment.
  • Maintain stock levels and parts within budget.
  • Ensure compliance with state and federal regulations, and assist with energy management.
  • Oversee security of buildings and grounds.
  • Maintain ongoing communication with contractors, clients, and the team.


Requirements:

  • 3 - 4 years of experience
  • Academic qualification of either an HND or BSc


Remuneration: NGN 100,000 - 120,000.
