Job Description/Requirements
Responsibilities:
Office Administration
- Serve as the first point of contact for all visitors and callers; maintain a professional and welcoming office environment
- Manage incoming and outgoing correspondence, including mail, deliveries, and phone calls
- Maintain an organized filing system (physical and digital) for administrative and HR documents
- Ensure office supplies are adequately stocked and place orders as needed
- Coordinate meeting schedules, manage calendars, and assist in setting up for meetings
- Support onboarding logistics for new staff, including workstation setup and documentation
- Monitor office maintenance needs and liaise with vendors and facility service providers
Bookkeeping & Accounts
- Process vendor invoices, staff expense reports, and other purchase ledger entries
- Liaise with internal and field staff regarding finance-related inquiries
- Manage payroll and statutory deductions, including the remittance of taxes such as VAT and WHT
- Prepare and file monthly VAT returns in compliance with regulatory requirements
- Oversee procurement and financial management activities
- Bank account and petty cash reconciliations
- Accounts payable management.
- Sourcing and contracting suppliers.
- Invoice verification and data entry into accounting systems
Requirements:
- Bachelor’s degree in Accounting or a related discipline/certification
- Professional certifications in Finance (e.g., ATS ICAN ACCA) are advantageous
- Experience in office administration, finance operations, or related roles
- Proven hands-on experience with accounting or payroll software (e.g., QuickBooks, Xero, or Sage)"
