Job Summary

We are seeking a reliable, detail-driven Accounting/Finance Coordinator to join our growing team. This individual will play a key role in managing day-to-day accounting operations, including invoicing, accounts receivable, payroll preparation, and financial reporting support. The ideal candidate is organised, meticulous, comfortable communicating with drivers, clients, and vendors, and can work collaboratively across departments to ensure financial accuracy and transparency.

Job Description/Requirements

Responsibilities:

Invoicing & Accounts Receivable:

  • Prepare and send invoices to clients promptly and accurately.
  • Track payments and follow up on outstanding balances.
  • Maintain updated client accounts and payment histories.
  • Work closely with dispatch and operations to verify load details before billing.


Payroll & Expense Processing:

  • Assist in preparing weekly and bi-weekly payrolls for drivers and staff.
  • Verify hours, trip sheets, and deductions for accuracy.
  • Record and track driver advances, reimbursements, and deductions.
  • Maintain confidentiality and compliance in all payroll activities.


Financial Reporting & Recordkeeping:

  • Support the preparation of internal financial statements and reports.
  • Keep accurate digital and physical accounting records.
  • Reconcile accounts and assist with monthly closing activities.
  • Provide data support during audits or management reviews.


Communication & Coordination:

  • Communicate effectively with team members, vendors, and clients.
  • Collaborate with the operations team to ensure accurate billing and driver settlements.
  • Report discrepancies and suggest improvements in financial processes.
  • Handle assigned administrative or financial projects as needed.


Requirements:

  • Diploma or degree in Accounting, Finance, or Business Administration (or equivalent experience).
  • 0-1 year in accounting or bookkeeping preferred (logistics or transport industry is an asset but not required).
  • Excellent attention to detail and analytical thinking.
  • Strong written and spoken English communication.
  • Proficiency in Excel, Google Sheets,
  • Ability to multitask and meet deadlines.
  • Positive, team-oriented attitude.
