Job Description/Requirements

Key Qualities:

  • Provide cost-effective managerial, administrative, financial and secretarial support to the Partner(s), Team Leaders, Principal Counsel and provide them with up-to-date financial information regarding the clients, staff and facilities of the Firm. 
  • Counsel and advise staff on issues that arise within MI, or regarding issues that may affect work competence.

Main Responsibilities:

  • Provide financial advice
  • Review the Firm’s systems and analyze risks. 
  • Perform tests to check financial information and systems. 
  • Implement accounting systems and processes.
  • Prepare financial reports monthly.
  • Provide ongoing accounting and report support.
  • Prepare an extensive budget report.
  • Prepare a budget for the next year, by November of the present year.
  • Administer and reconcile Clients’ accounts, disbursements, balances, expenses and petty cash.
  • Administer payments of Value Added Tax, PAYE and processing of bank transfers.
  • Promptly demand and obtain from clients, proofs and or receipts evidencing their deductions and/or remittances of Value Added Tax and Withholding Tax from professional fees.
  • Control and administer clients’ deposit accounts and expenses on clients’ matters.
  • Monitor and keep invoices, bills, billing and disbursements, client database and other financial records as may be required. 
  • Maintain and administer the relationship between the Firm and outside suppliers of services or equipment. 
  • Conduct and prepare quarterly income and expenditure accounts and annual financial statements and submit them to the Chief Managing Officer and Principal Counsel.
  • Liaise with the tax officials and tax consultants in working out the tax payable and due.
  • Liaise with the external auditors in preparing the annual accounts.
  • File annual returns, tax returns and cause Value Added Tax and other income tax including PAYE to be paid as when due.
  • Fully comply with the core values of the Firm.  
  • Perform the functions of the Accountant.
  • Ensure that outstanding debts owed by Clients are recovered promptly and that based on any letter of engagement of a Client’s matter, fees are recovered on their landmarks. 
  • Ensure that the Firm’s money is not spent on client’s matters and expenses. A deposit on account of fees and expenses must be paid, before the commencement of work on clients’ matters. 
  • Ensure that when money is received from a Client on a matter, it is separated in form of fees and expenses for efficient auditing. 
  • Ensure that outstanding requisitions are retired by every staff within 24 hours of completing the Firm’s assignments, failing which unretired amounts would be deducted from the delinquent staff’s salary for that month. 
  • Provide a report on all outstanding requisitions monthly. 
  • Ensure that at the close of business, balances all relevant Books every Friday, except on public holidays, where this exercise must be carried out on the last working day of that week. 
  • Ensure that accounts are balanced on a daily basis.
  • Promptly post all financial data into the financial management software. 
  • Provide details of client receivables, funds and payables. 
  • Prepare a statement of financial position. 
  • Provide a profit or loss statement.
  • Provide a cash flow statement. 
  • Prepare a fixed assets register. 

Qualifications, Skills and Experience:

  • Accounting Degree from a higher institution.
  • Managerial, accounting and administrative experience of over a 4-5-year period in a professional establishment. 
  • Word-processing, accounting, team-building skills and ability to use accounting software and computer. 
  • Tact and resilience, in addition to the display of an assertive manner in handling people, are key qualities. 
  • Registration with an accredited statutory body an association.
  • Must be Chartered.
