Job Summary

We are looking for a highly organized and proactive individual to fill the role of Personal Assistant to the Director. The ideal candidate will be responsible for managing the Director's schedule, handling correspondence, coordinating meetings, and providing administrative support to ensure the smooth functioning of the executive office.

  • Minimum Qualification : Degree
  • Experience Level : Mid level
  • Experience Length : 2 years

Job Description/Requirements

Responsibilities:

  • Calendar Management: Efficiently manage the Director's schedule, prioritize appointments, and coordinate meetings and events.
  • Communication: Handle incoming and outgoing correspondence, emails, and calls on behalf of the Director, ensuring professionalism and confidentiality.
  • Meeting Coordination: Plan, organize, and coordinate meetings, conferences, and travel arrangements. Prepare agendas, take minutes, and follow up on action items.
  • Documentation and Filing: Maintain accurate and organized records, files, and documentation. Ensure timely retrieval of information as required.
  • Task Prioritization: Assist the Director in prioritizing tasks and managing deadlines. Anticipate needs and provide proactive support to enhance efficiency.
  • Research and Analysis: Conduct research and provide briefs or reports on relevant topics as directed by the Director.
  • Project Tracker: Acting as a tracker for all projects and reporting back to the MD


Requirements:

  • Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
  • Proven experience as a Personal Assistant or Executive Assistant, preferably in a corporate environment.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficient in MS Office suite. (Microsoft Excel & PowerPoint)
  • Ability to maintain a high level of confidentiality.
