Job Summary

AJ Skylar is seeking a highly organized and detail-oriented Office/Admin Assistant to support our administrative operations. The successful candidate will play a critical role in ensuring the smooth and efficient functioning of our office by handling a variety of administrative and clerical tasks.

Job Description/Requirements


Administrative Support:

  • Provide general administrative and clerical support including mailing, scanning, faxing, and copying to management.
  • Maintain electronic and hard copy filing system.
  • Open, sort, and distribute incoming correspondence.

Office Management:

  • Monitor and maintain office supplies inventory.
  • Coordinate maintenance of office equipment.
  • Manage office space and ensure it is organized and well-maintained.

Scheduling and Coordination:

  • Schedule and coordinate meetings, appointments, and travel arrangements for managers or supervisors.
  • Prepare agendas and make arrangements for committee, board, and other meetings.


  • Answer and manage incoming calls, emails, and other communications.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Assist in the preparation of regularly scheduled reports.

Documentation and Reporting:

  • Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
  • Conduct data entry and maintain accurate records and databases.

Customer Service:

  • Provide excellent customer service to clients and staff.
  • Handle customer inquiries and complaints in a professional and courteous manner.

Project Support:

  • Assist in the coordination and management of special projects.
  • Support team members with various administrative tasks as needed.


  • High school diploma or equivalent; associate’s or bachelor’s degree in business administration or related field is preferred.
  • Proven experience as an office assistant, administrative assistant, or in another relevant administrative role.

Skills and Abilities:

  • Proficiency in MS Office (MS Excel and MS Word, in particular).
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problem-solving skills.
  • Strong organizational and planning skills.
  • Excellent written and verbal communication skills.
