Job Summary

We are looking to hire a suitable candidate to fill this position. The ideal candidate will manage the facilities, security, corporate affairs and administrative processes of GATIMO LTD to ensure the smooth running of daily operations. The role is responsible for coordinating the day-to-day activities for the maintenance of facilities, fleet and logistic oversee the administrative processes as well as manage the

Job Description/Requirements

Responsibilities:

Manage Admin and Business Relationship

  • Oversee organization wide management strategic sourcing, procurement, contracting, and evaluation of services.
  • Provide overall direction, leadership, management, and communication for the admin department.
  • Supervise activities of Admin support staff including Admin Executive, Assistant/Store keeper, Maintenance/Facility Officer, Fleet lead, Drivers, dispatchers, Janitors, gardeners’ security officer and all other admin staff.
  • Responsible for presentation and defending of Admin management reports to GM services
  • Responsible for working with GM services/CRO on Admin project management.
  • Responsible for working with Finance and Account Unit Teams to ensure admin operating expenses are better manage
  • Responsible for working with Human Resources teams to ensure proper file archiving with cabinets and shelves, involve in the admin staff recruitment and disciplinary issues, provide logistics support for events organization, set up venues for meetings, conferences and trainings.
  • Responsible for working with the internal control team to ensure Admin store stocks are monitored by internal control
  • Responsible for working with the account team in ensuring memo are attended to.
  • Work with all other necessary teams in the organization
  • Responsible for new hire settling in
  • Ensuring the needs of Support Centre and Store staff are attended to.
  • Making requisition and re-stocking of Admin store needs
  • Proper documentation of company assets leaving and entering the store
  • Supervision of laundry activities
  • Works with HSE and compliance team to ensure full compliance to all HSE Checklist.

 

Fleet and Facility Management

  • Supervises delivery of merchandise and consumables to all Lagos and upcountry stores
  • Supervises journey management of all staff and business clients where necessary
  • Supervises fleet maintenance and servicing to ensure optimal use of the fleet
  • Responsible to ensure that the vehicle particulars are valid and complete
  • Supervises all drivers and dispatcher’s valid documentation
  • Supervises facility maintenance, repair of support centre facility, support centre tenant and stores
  • Supervises routine checks on the facility, janitors and gardeners ensuring all that they will be needing to keep all corners sparkling clean are provided
  • Ensures support centre regular fumigation and sanitisation
  • Supervises all other fleet and facility activities.


Security Management

  • Supervision of the security operatives to ensure full security coverage
  • Supervision of routine inspection of the entire premises and all other security activities


Utilities Bill Payment and Registration

  • Responsible for ensuring that the vehicle and other company asset paper registration are done and renew timely
  • Ensure statutory government bills are paid such as waste bills, PHCN and local levies
  • Ensure non-statutory government bills are paid such as CUG, Security bills amongst others
  • Ensure water dispenser bills are paid and regularly provided

 

Procurement, Vendor Record and Relationship Management   

  • Maintain a database of first, second and third grade services provider vendors across different locations especially in the areas of hotel accommodation, air ticketing, road transportation, repair and maintenance etc. 
  • Ensure good relationship with services providing vendors and also manage vendor agreements and terms

Administrative Cost Management

  • Responsible for weekly and monthly consolidated admin expenses report of all business units and stores (cost centers)
  • Responsible for ensuring cost reduction initiatives are executed under power expenses, cleaning expenses, travelling and transport expenses, repair and maintenance expenses, printing and stationery expenses, security expenses and rates expenses.
  • Responsible for ensuring admin expenses budget variance are kept under control limits


Admin Management Report:

  • Weekly and Monthly admin activity report
