A receptionist plays a crucial role as the first point of contact for visitors and callers to the organization. They are responsible for providing exceptional customer service, managing the front desk operations, and supporting administrative tasks to ensure smooth daily operations.

Job Description/Requirements

Responsibilities:

Greeting Visitors:

  • Welcome visitors in a warm and friendly manner.
  • Direct visitors to appropriate offices or personnel.
  • Ensure compliance with security procedures by issuing visitor badges.


Answering and Forwarding Calls:

  • Answer incoming calls promptly and professionally.
  • Forward calls to appropriate personnel and take messages when necessary.
  • Maintain and update the phone directory.


Handling Inquiries:

  • Provide accurate information in-person and via phone/email.
  • Respond to inquiries regarding company services and products.


Managing Reception Area:

  • Maintain a neat and organized reception area.
  • Ensure all necessary stationery and materials are available.


Administrative Support:

  • Assist with general office administrative tasks as needed (e.g., filing, photocopying, data entry).
  • Schedule appointments and maintain appointment calendars.


Mail Handling:

  • Sort and distribute incoming mail and prepare outgoing mail.
  • Coordinate courier services as needed.


Meeting and Greeting Clients

  • Arrange meeting rooms and set up for meetings.
  • Arrange refreshments for meetings and ensure rooms are tidy afterward.


Office Support:

  • Assist other departments with administrative or clerical support tasks as requested.
