Job Description/Requirements

Responsibilities:

Reception & Environment Management:

  • Greet Clients: Enthusiastically welcome all clients, ensuring they feel comfortable and valued from the moment they step into the clinic.
  • Maintain Environment: Ensure the clinic is tidy, all lights are turned on, and the environment smells pleasant (turn on candles for 10 minutes). Check the toilets and treatment rooms are ready for use.
  • Appearance: Maintain a professional, neat, and natural appearance, adhering to the clinic's styling guidelines (uniform, plain black accessories, natural makeup, and well-groomed hair).


Client communication & Scheduling:

  • Appointment Reminders: Call clients to remind them of their appointments with a friendly, enthusiastic tone (e.g., "Good day, this is Bregha Beauty Clinic. How can I assist you today?").
  • Appointment Management: Reschedule appointments if necessary, and inform clients of any service delays.
  • Client Checkouts: Handle the checkout process for clients, including payment processing, providing receipts, and offering information about follow-up services or next steps.
  • Scheduling: Assist in scheduling future appointments based on the client’s skincare plan.


Client Image & Record Management:

  • Patient Record Updates: Source and update client records, including treatment details, skincare routines, and post-treatment instructions in the clinic's record system.


Social Media Management:

  • Respond to DMs & Comments: Monitor and promptly respond to Instagram, WhatsApp, and TikTok messages and comments, ensuring leads are converted into clients.
  • Lead Conversion: Proactively engage with potential clients via social media, answering their queries, providing helpful information, and booking consultations or treatments.


Post-Consultation Care:

  • Client Instructions: Review post-consultation and treatment care routines with clients, including homecare programs (skincare routines, supplements, and lifestyle changes).
  • Product Sales: Assist clients with purchasing prescribed products and provide guidance on how to use them effectively.


End-of-day Reporting:

  • Sales & Inventory Updates: Record daily sales of treatments and products in the BB CLINIC system. Update the clinic’s dispensary stock and monitor product inventory levels.
  • Client Records & Payments: Ensure all client records, including treatment plans and outstanding payments, are up to date by the end of each day.


Requirements:

  • Minimum of 1-2 years of experience in customer service, administration, or a similar role.
  • Proficient in MS Office and familiar with office equipment.
  • Excellent communication skills—both written and verbal.
  • Social media savvy with experience in managing Instagram, WhatsApp, and TikTok inquiries.
  • Strong organizational and multitasking skills, with attention to detail.
  • A friendly and professional demeanor, with the ability to create a welcoming atmosphere.


Additional Skills:

  • Strong interpersonal skills, with the ability to address client needs confidently.
  • Ability to maintain confidentiality and handle sensitive client information.
  • Experience in the beauty or aesthetics industry is a plus.


Location: Lekki 1

Remuneration: NGN 120,000 - 150,000
