Job Summary

Event Manager/Event Coordinator plays a pivotal role in ensuring the seamless planning, coordination, and execution of events. This position involves supporting the Event Manager and collaborating with event teams to deliver exceptional experiences for clients and guests.

Job Description/Requirements

Responsibilities:

Event Planning:

  • Assist in event inquiries, initial client consultations, and proposal development.
  • Collaborate with the Event Manager to create event timelines, budgets, and specifications.


Vendor and Supplier Coordination:

  • Liaise with vendors, suppliers, and contractors to secure services, equipment, and materials.
  • Assist in negotiating contracts and ensuring vendor compliance with event requirements.


Client Relations:

  • Maintain positive relationships with clients, addressing inquiries, concerns, and requests professionally and efficiently.
  • Assist in managing client expectations and providing solutions to challenges.


Event Coordination:

  • Support the setup, execution, and breakdown of events, ensuring they run smoothly and according to plan.
  • Coordinate logistical aspects, including equipment setup, decorations, and AV requirements.


Team Management:

  •   Work with event teams, including staff and volunteers, delegating tasks, and providing guidance.
  • Foster a collaborative work environment and ensure everyone understands their roles.


Marketing and Promotion:

  • Assist in marketing strategies to promote events, attract attendees, and maximize their success.
  • Participate in marketing efforts, including social media, email campaigns, and promotional materials.

 

Safety and Compliance:

  • Ensure compliance with safety protocols and emergency procedures to maintain a safe environment.
  • Stay updated with relevant regulations and best practices in event management.


Budget Management:

  • Support the creation and management of event budgets, tracking expenses and revenue projections.
  • Report budget status to management and identify cost-saving opportunities.


Customer Service:

  • Provide excellent customer service to event attendees, assisting with registration, inquiries, and assistance during events.
  • Maintain a positive and professional demeanor when interacting with guests.


Requirements:

  • Minimum academic qualification of a bachelor's degree in any discipline
  • At least 2 years of working experience
