Staff Assistant
Job summary
You're expected to be the friendly backbone of Jodam Opticians as our Staff Assistant. Support daily operations by greeting and assisting customers, handling front-desk tasks (scheduling appointments, answering calls, processing payments), maintaining inventory of frames, lenses, and accessories, keeping the showroom neat and displays attractive.

Responsibilities:
- Answer phone calls, emails, and staff/client queries, then directing or resolving them appropriately.
- Schedule appointments, meetings, events, and travel arrangements while managing calendars to avoid conflicts.
- Organize and maintain files, records, databases, and employee information (including updating internal systems).
- Prepare, draft, and organize documents, reports, correspondence, presentations, and paperwork for company procedures.
- Monitor and order office supplies, manage inventory, and ensure the office remains well-stocked and organized.
- Sort and distribute mail, greet visitors, and perform general receptionist duties.
- Retrieving company or employee data as requested and assisting with basic research or data entry.
- Coordinate office logistics, such as event planning, vendor communications, or basic HR-related support (e.g., forwarding queries).
- Provide backup administrative support across teams or departments when needed.
Requirements:
- Strong organizational and time-management abilities.
- Excellent communication (verbal and written) and interpersonal skills.
- Proficiency in office software (e.g., Microsoft Office/Google Workspace, email, calendars).
- Attention to detail, discretion (especially with confidential information), and problem-solving.
- Reliability, helpful attitude, and ability to multitask in a fast-paced environment.
