Job summary
The Programs Coordinator is responsible for planning, coordinating, and supporting the successful delivery of all educational programs across the organization. This includes holiday camps, STEM for Kids (STEM programs), after-school clubs, workshops, trainings, and partner school programs. The role ensures that programs are well-planned, properly resourced, delivered on schedule, and aligned with the curriculum philosophy, quality standards, and experiential learning approach. The Programs Coordinator serves as the operational backbone of program delivery, coordinating between curriculum design, facilitators, logistics teams, partner schools, parents, and internal stakeholders. Responsibilities:
Program Planning & Coordination:
- Coordinate the planning and execution of all programs, including Holiday Camps, STEM for Kids, after-school programmes, workshops, trainings, and special initiatives
- Develop and manage programme schedules, calendars, and session plans
- Ensure programme timelines are realistic, well-communicated, and adhered to
- Support programme setup, delivery, and wrap-up
Facilitator & Resource Coordination:
- Coordinate facilitators, instructors, and support staff across all programs.
- Support facilitator onboarding, scheduling, and communication
- Ensure facilitators receive lesson plans, session guides, kits, and materials in advance
- Track facilitator attendance, preparedness, and delivery
Program Delivery & Quality Assurance:
- Monitor programme sessions to ensure quality delivery, learner engagement, and safety
- Ensure adherence to approved curricula, lesson plans, and delivery standards
- Identify delivery gaps and work with leadership to improve programme quality
- Support consistency in programme experience across locations and schools
Logistics & Operations Support:
- Coordinate venues, classrooms, equipment, materials, and setup for all programs.
- Work with operations and finance teams to plan resources and programme budgets
- Ensure timely procurement and readiness of programme materials
- Support smooth transitions between sessions and programs.
Partner Schools & External Programs:
- Coordinate programmes delivered at partner schools, including schedules, facilitators, and materials
- Serve as a point of contact for partner schools on programme delivery matters
- Support programme alignment with partner school expectations and agreements
- Assist with onboarding new partner schools from a program's perspective.
Holiday Camps & Special Programs:
- Coordinate end-to-end delivery of holiday camps, including themes, schedules, staffing, materials, and logistics
- Support on-ground execution during camp periods
- Ensure a safe, engaging, and high-quality camp experience for all participants
Monitoring, Reporting & Documentation:
- Maintain accurate records of programme attendance, sessions delivered, and outcomes
- Prepare programme reports covering Holiday Camps, STEM for Kids, and partner schools
- Document learnings, feedback, and recommendations for improvement
Support for Growth & Special Initiatives:
- Support development and rollout of new programmes and pilots
- Assist with special projects, partnerships, and expansions
- Provide operational support for new initiatives as required
Requirements:
Preferred Qualifications:
- Degree in Education, Project Management, Social Sciences, or a related field
- 3-5 years experiencein a similar role
- Experience working with children or youth programmes
- Experience with STEM or Engineering for Kids programmes is an advantage
- Experience working with schools or educational partners
- Experience in programme coordination, education administration, or project support
- Strong organisational and multitasking skills
- Excellent communication and coordination abilities
- Ability to manage multiple programmes simultaneously
- Strong attention to detail and follow-through
