Job summary

Our client is looking for an Operations Executive who is responsible for overseeing the day-to-day operations of the Institute to ensure smooth coordination across all business units, programs, trainings, events, client-facing activities, and internal support functions.

Job descriptions & requirements

Responsibilities:

  • Oversee the overall operational activities of the organisation across all business units, including paid and free training, counselling sessions, community engagements, events and resource centre operations.
  • Supervise and provide direction to the project manager, client management executive, executive assistant and other job functions within the institute.
  • Ensure that all programs, events and organisational activities are properly planned, coordinated, executed and documented.
  • Develop and implement operational systems, processes and standards to improve efficiency and service delivery.
  • Coordinate internal workflow across teams to ensure proper communication, accountability and timely delivery of tasks.
  • Monitor the execution of training calendars, event plans, client communication processes and CEO support activities.
  • Review operational plans and provide approvals, guidance, and escalation support where necessary.
  • Track performance across the operational team and support the development of individual teh team KPIs.
  • Ensure that all organisational activities are aligned with budget, timeline and quality expectations.
  • Identify operational gaps, recommend improvements and support continuous process optimisation.
  • Ensure proper coordination between the institutes. business units and the NGO arm where applicable.
  • Support crisis management and resolve operational bottlenecks as they arise.
  • Prepare and present operational updates and reports to senior leadership as required.
  • Ensure compliance with internal policies, standard procedures and any applicable legal and regulatory requirements.
  • Support the planning and execution of strategic organisational activities and special projects.


Requirements:

  • BSc in Business Administration or related field
  • 4 years of experience in operations or project management.
  • Excellent communication, report writing skills.
  • Problem-solving skills.
