Inventory Officer
Job summary
We’re seeking a detail-driven Inventory Officer to oversee stock accuracy, financial control, and reporting across all hotel units. This is a finance-controlled role focused on inventory governance, compliance, and loss prevention; not storekeeping.

Responsibilities:
Inventory Control & Policy Management:
- Develop and enforce inventory policies and procedures
- Set and review par levels across all departments
- Ensure all stock movements are properly recorded in real time
- Enforce requisition approval and FIFO stock rotation
- Maintain inventory systems and ensure data accuracy
Stock Takes & Variance Control:
- Plan and lead regular and surprise stock counts
- Reconcile physical stock with system records
- Investigate and explain all variances (loss, error, theft, wastage)
- Produce variance reports with actionable recommendations
- Ensure timely stock take completion for month-end reporting
Consumption Analysis & Reporting:
- Analyse stock usage trends across departments
- Prepare inventory reports for Finance and Management
- Identify over-consumption, wastage, and slow-moving stock
- Support F&B and Operations with cost control insights
- Submit daily and monthly stock movement reports
Purchasing & Supplier Oversight:
- Review and validate departmental purchase requests
- Ensure procurement aligns with par levels and usage
- Monitor supplier performance (quality, delivery, accuracy)
- Support supplier reviews and procurement decisions
Storekeeper Supervision:
- Supervise Storekeeper operations and daily accuracy
- Ensure real-time recording of all stock transactions
- Conduct unannounced store inspections
- Train and monitor Storekeeper performance
- Escalate issues to Finance/HR when necessary
Loss Prevention & Internal Controls:
- Identify inventory control weaknesses and risks
- Ensure strict segregation of duties in stock handling
- Support internal audit processes and investigations
- Report theft, fraud, or mismanagement immediately
- Maintain restricted and secure store access
Food Safety & Storage Compliance:
- Ensure proper storage conditions for all inventory
- Enforce HACCP standards for food items
- Ensure safe storage of chemicals and maintenance materials
- Report safety risks or breaches immediately
Requirements::
- Degree/HND in Accounting, Supply Chain, Business Administration, or related field
- Minimum 2 years of inventory or stores control experience (hospitality or FMCG preferred)
- Strong knowledge of FIFO, par levels, and stock control systems
- Close attention to detail and accuracy
- Strong analytical and reporting ability
- Integrity and accountability (critical for role independence)
- Strong organizational and control mindset
- Clear communication and reporting skills
- Ability to enforce policies firmly across departments
- Proficiency in Excel and inventory/ERP systems
- Strong numerical accuracy and attention to detail
Preferred:
- CIPS, CIPSMN, or related certification
- Hotel or multi-outlet hospitality experience
- Familiarity with PMS or F&B inventory systems
- Experience working with Finance and Internal Audit teams
KPIs:
- Stock variance percentage (minimized monthly)
- On-time completion of stock takes
- Accuracy of requisitions and stock records
- Reduction of slow-moving/obsolete stock
- Accuracy of consumption vs budget reporting
- Timely submission of daily/monthly reports
- Zero critical audit findings
Working Conditions:
- Office and store-based role with movement across departments
- The month-end stock take may require extended hours
- High level of confidentiality required
- Occasional unscheduled inspections outside normal hours
