Job summary

The Front Desk/Admin Officer is the first point of contact at Twinkly Tots School and is responsible for maintaining a welcoming, professional front desk area. This role also provides essential administrative support to ensure smooth day-to-day operations and supports the School Director in various administrative functions.

Job descriptions & requirements

Responsibilities:

Front Desk Operations:

  • Warmly welcome parents, visitors, and vendors.
  • Maintain a clean, organized, and professional reception area.
  • Answer and direct phone calls and emails in a professional manner.
  • Manage daily sign-in and sign-out of children and staff.
  • Handle inquiries and provide accurate school-related information.

Administrative Support:

  • Maintain and update student and staff records.
  • Assist in preparing and filing official documents.
  • Organize school communications and newsletters under direction.
  • Maintain inventory of office and school supplies and request restocks.
  • Assist with coordinating school events and meetings.

Communication & Correspondence:

  • Relay messages and feedback from parents to staff accurately and promptly.- Respond to general inquiries about school programs, admission, and events.
  • Draft routine school letters or communications as assigned.

Support for the School Director:

  • Provide direct administrative support to the School Director.
  • Carry out tasks and instructions promptly as delegated.
  • Maintain confidentiality in all aspects of school administration.

Daily Wrap-Up:

  • Submit a daily summary/report to the School Director.
  • Ensure front desk and workspace are tidy and organized at the close of each day.
  • Secure all confidential materials before leaving.

Requirements:

  • A degree in Education or a related field.
  • Strong interpersonal and communication skills.
  • Organizational and multitasking abilities.
  • Proficiency in basic computer and office tools.
  • A professional and courteous attitude.

Dress Code:

  • Business Casual - Must maintain a smart and formal appearance.
  • No ripped jeans, open-toed shoes, sneakers (except on dress-down days), loud accessories, or overly casual outfits.
