The Front Desk Officer is responsible for providing high-quality customer service, managing inquiries, and coordinating daily appointments. This role bridges the gap between clients and service providers, ensuring that every guest feels welcomed and that the facility's operations run smoothly.

Job descriptions & requirements

Responsibilities:

Customer Experience and Reception:

  • Greet all guests warmly upon arrival and provide information about services and pricing.
  • Manage the check-in and check-out process, ensuring a seamless experience for every visitor.
  • Respond to inquiries via phone, email, and social media in a timely and professional manner.


Scheduling & Coordination:

  • Maintain an organized booking calendar and schedule appointments accurately.
  • Confirm upcoming bookings and manage cancellations or rescheduling to maximize service efficiency.
  • Coordinate with team members to ensure they are prepared for their scheduled appointments.


Financial Management:

  • Handle all point-of-sale (POS) transactions, including cash, card, and digital transfers.
  • Maintain an accurate daily ledger and provide end-of-day financial reports.
  • Educate clients on current promotions, packages, or membership opportunities.

Administrative Support:

  • Maintain a clean and organized reception area at all times.
  • Manage inventory for retail products and front-office supplies.
  • Collect and record client feedback to help improve service standards.


Requirements:

  • Experience: Previous experience in a reception, customer service, or administrative role is highly preferred.
  • Communication: Exceptional verbal and written communication skills with a friendly, professional demeanor.
  • Technical Skills: Proficiency in basic office software (Excel, Word) and comfort using POS systems or booking software.
  • Organization: Ability to multitask in a fast-paced environment while maintaining high attention to detail.
  • Professionalism: Strong problem-solving skills and the ability to handle client concerns with patience and diplomacy
